Job summary
AutoMall is hiring a hands-on Administrative & Personnel Officer to keep the workplace running smoothly day-to-day. This is an execution role, not a management role — but it is also not a clerical one. We are looking for a practical, independent operator who can spot what needs doing, get it done, and only escalate the things that genuinely require senior input. The right person owns the rhythm of the office: facilities, supplies, attendance, records, and vendor follow-through. They run their own patch with minimal supervision and bring problems to leadership already half-solved.

Key Responsibilities:
Office Operations & Facilities
- Owns the day-to-day functionality of the workplace. Acts decisively on routine matters and escalates only what falls outside agreed thresholds
- Keep office and operational supplies stocked; reorder before things run out, not after
- Ensure utilities are working: electricity (including generator readiness and fuel), water, internet
- Resolve routine maintenance and repair issues directly with vendors; escalate only larger or recurring problems
- Oversee cleanliness of the premises and coordinate security arrangements
HR Administration
- Owns the integrity of staff records and the daily attendance picture. Serves as the practical first point of contact for staff-related administrative matters.
- Record daily staff attendance and maintain accurate, up-to-date staff records
- Manage staff contract documentation and renewal timelines
- Be the first point of contact for routine staff administrative questions
- Communicate management instructions to staff clearly and follow up on receipt.
- Oversee HR policies and make sure they are adhered strictly.
Reporting & Follow-Through
- Owns the daily and weekly reporting rhythm. Closes loops on outstanding items rather than letting them drift.
- Maintain a daily log of activities, issues, and observations
- Track outstanding items through to resolution
- Submit a daily report covering attendance, facility status, issues, actions taken, and outstanding matters
- Provide weekly summaries on operational and personnel metrics.
Vendor & Asset Coordination
- Liaise with external vendors and hold them accountable for service delivery
- Maintain an incident log and basic asset register
- Identify inefficiencies, wastage, or risks and propose practical fixes
Authority & Escalation:
This role is execution-focused. The officer does not make management decisions on people, strategy, or budgets. However, within their patch they are expected to exercise sound judgement on routine operational matters — vendor follow-up, supplies replenishment, minor maintenance — without waiting for instruction. Spending thresholds and approval limits will be defined on appointment.
Person Profile
- 3–5 years of relevant experience in office administration, HR support, or operations coordination
- Practical and independent — gets things done without needing to be told twice
- Highly organised, with strong record-keeping and reporting habits
- Sound judgement on what to handle directly and what to escalate
- Firm but respectful communicator; comfortable holding vendors and staff to commitments
- Discreet and professional in handling personnel information

- The office runs without senior management having to chase routine issues
- Staff records and attendance are always current and accurate
- Vendors deliver on time because they know they will be followed up
- Problems reach leadership with a recommended action, not just a report
- Daily and weekly reports are reliable enough that leadership trusts them without re-checking
