Job summary

The Wilder Institute Ghana is seeking a full-time, permanent Human Resources Generalist who will be responsible for providing day-to-day human resources and administrative support to Wilder Institute Ghana’s operations with extension support to the Wechiau Community Hippo Sanctuary, and Avu Lagoon Visitors Center.

Key Responsibilities

  • Acts as a first point of contact for staff on routine HR-related questions, including policies, procedures, contracts, and onboarding processes.
  • Coordinate recruitment processes for site-based and administrative positions, including coordinating job postings, receiving applications, scheduling interviews, and conducting reference checks.
  • Coordinate onboarding and offboarding processes, including preparation of employment documentation, orientation materials, and exit documentation.
  • Maintain accurate and confidential employee records, contracts, and personnel files throughout the employee life cycle.
  • Assist the Junior Financial Administrator with payroll by providing employee information on leaves, time off requests and benefits.
  • Support performance management and processes by tracking documentation, timelines, and required follow-ups.
  • Assist with coordination of staff training, policy sign-offs, and internal communications related to HR matters.
  • Promote compliance with organizational policies and workplace standards.
  • Escalate complex HR, employee relations, or disciplinary issues to the Conservation Operations Manager and Chief People & Culture Officer. 
  • Promote general administrative support to the program team, including scheduling meetings, preparing agendas, taking minutes, and maintaining records.
  • Assist with document management, filing systems, and data entry to support efficient program operations.
  • Assist with procurement and inventory tracking for office supplies and basic equipment, as directed.
  • Serve as a liaison between staff, management, and external partners on administrative matters.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Support the Conservation Operations Manager by tracking HR and administrative activities for internal reporting and donor requirements, as applicable.
  • Identify administrative or HR-related challenges or risks and communicate them to the Conservation Program Manager and Chief People & Culture Officer for timely resolution.
  • Contribute to the development and improvement of HR and administrative systems and processes as the organization grows.
  • Provide guidance on Ghanaian human resources practices, including cultural norms, legal requirements, workplace expectations, and locally recognized HR best practices, to ensure organizational decisions are compliant, culturally aligned, and effective for employees based in Ghana.
  • Support with safety and incident reporting as needed.

Key Requirements 

  • Eligible to work in Ghana
  • 3 to 5 years of relevant work experience
  • Experience in an HR, administrative, or office coordination role.
  • Basic knowledge of human resource practices, employment processes, and administrative procedures. 
  • Proficiency in MS Office suite. 
  • Familiarity with HR systems is an asset. 
  • Thorough knowledge of Ghanaian labour laws.
  • Strong organizational skills and attention to detail.
  • Ability to manage confidential information with discretion and professionalism.
  • Strong interpersonal and communication skills, with the ability to interact effectively with employees at all levels.
  • Ability to work independently and collaboratively in a small team environment and collaborate with other Wilder Institute departments
  • Experience working in NGOs, community-based organizations, or development/conservation projects is an asset.
  • Cultural sensitivity and adaptability in cross-cultural work environments.


Working Conditions:   

  • Standard full-time work schedule of 40 hours per week, Monday to Friday
  • Adjustments to daily work hours may occasionally be required to accommodate collaboration across time zones with the Wilder Institute Canadian office or occasional field visits as required
  • Work is primarily office-based, with overtime not typically required; any occasional field visits would take place within regular working hours.
  • Extensive office work involving long periods of sitting at computer work stations.
  • Occasional time spent at project locations may include field work/conditions which may involve hazards such as dangerous animals, insects, sunburn, working with field equipment such as trucks or ATVs, heavy lifting of field equipment, exposure to wildlife diseases, and working in remote small communities.
  • Occasional travel to field locations or project communities as necessary.
  • Regular touchpoints with the Wilder Institute Canadian office across time zones.


Reporting

  • Report to the Conservation Operations Manager in Ghana, with functional reporting to the Chief People & Culture Officer
  • The HR Generalist acts as a first point of contact for staff on routine HR and administrative matters and supports the implementation and management of organizational policies, procedures, and workplace practices.
  • This role plays an important part in fostering a positive, respectful, and well-organized environment that aligns with organizational values, local regulations, and community context.
