Job Summary
We are seeking a highly organized and motivated Remote Office Administrative Assistant to join our team. This role plays a critical part in supporting the day-to-day administrative operations of our remote office. While fluency in both English and Spanish is strongly preferred, we will also consider exceptional candidates who are not bilingual but bring significant skills, experience, or expertise that add strong value to the organization. The ideal candidate demonstrates excellent organizational abilities, strong attention to detail, and the ability to work independently in a remote, fast-paced environment.

Job Description/Requirements
Key Responsibilities
Administrative & Communication Support
- Manage and respond to inbound phone calls and emails in a timely and professional manner.
- Communicate effectively with internal and external stakeholders.
- Utilize Spanish-language communication when applicable.
Calendar & Schedule Management
- Maintain and manage calendars for team members.
- Schedule meetings, appointments, and events while resolving scheduling conflicts.
Document & Data Management
- Organize, maintain, and update digital files and records.
- Perform accurate data entry and ensure proper documentation.
Meeting & Event Coordination
- Coordinate and schedule virtual meetings, webinars, and conference calls.
- Ensure all necessary materials, links, and resources are prepared in advance.
Task & Workflow Support
- Assist with task prioritization to ensure deadlines are met.
- Track action items and follow up as needed.
Special Projects
- Support management with ad-hoc projects and administrative assignments.
Qualifications
- Proven experience as an Administrative Assistant, Office Assistant, or Virtual Assistant.
- Bilingual proficiency in English and Spanish is strongly preferred.
- Non-bilingual candidates may be considered if they possess exceptional administrative experience, specialized skills, or a strong professional background that offsets the language requirement.
- Strong computer proficiency, including Microsoft Office and cloud-based collaboration tools.
- Excellent written and verbal communication skills.
- High level of organization and attention to detail.
- Ability to work independently and manage time effectively in a remote setting.
- Strong problem-solving skills and a proactive, self-driven approach.
- Familiarity with remote work tools and technology is a plus.
- Bachelor’s degree or equivalent professional experience preferred.
