The Company Administrator will be responsible for overseeing administrative systems, coordinating client-facing documentation, supporting travel reservations and visa processing workflows, managing internal records, and ensuring smooth interaction between clients, suppliers, embassies, and management. This role requires a professional with strong organizational discipline, excellent communication skills, and prior experience within the travel, tourism, aviation, hospitality, or visa facilitation environment.

Key Duties & Responsibilities
The Administrator will be expected to perform the following duties:
Administrative & Office Management
- Oversee daily office operations and administrative workflows
- Maintain accurate physical and digital filing systems for client records
- Manage incoming and outgoing correspondence on behalf of the company
- Prepare internal reports, schedules, and operational updates for management
Travel & Tour Operations Support
- Coordinate travel reservations including airline tickets, hotel bookings, and tour packages
- Liaise with suppliers to confirm availability, pricing, and bookings
- Maintain updated records of travel itineraries and client bookings
Visa & Documentation Management
- Coordinate and manage visa application documentation for clients
- Book embassy and visa centre appointments across multiple jurisdictions
- Monitor embassy websites and visa platforms for policy updates
- Brief clients on visa requirements, documentation, and interview expectations
Client Relations & Coordination
- Serve as a primary point of contact for clients and respond to enquiries professionally
- Follow up on client applications and provide regular progress updates
- Coordinate client appointments, embassy visits, and interviews
Expected Qualifications
- Minimum of HND / Bachelor’s Degree in: Business Administration, Travel & Tourism Management, Hospitality Management, Marketing, Public Administration Or a related discipline
- Professional certifications in Travel & Tourism Operations, Office Administration, Customer Service, or Project Coordination will be an added advantage
- Demonstrable computer literacy with strong proficiency in:
- Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Internet-based research and booking platforms
Required Experience
- 3–6 years relevant experience in an administrative or operations role within: Travel & Tour companies, Airline reservation offices, Hospitality or tourism-related organisations, Visa facilitation or travel consultancy firms
- Proven hands-on experience with: Travel reservations (airline tickets, hotels, tour packages), Visa application documentation and embassy appointment systems
- Experience liaising with: Clients, Airlines, hotels, and tour operators, Embassies, consulates, and visa application centres
- Demonstrated ability to work under pressure and manage multiple client files simultaneously
- Prior supervisory or team coordination experience is an advantage
