Job summary

The position holder will assist in providing high level administrative, financial and secretarial support to key managers at the Home Office. He or she shall be responsible for coordinating key activities while ensuring that key project deliverables are met within given time frame.

Main Duties and Responsibilities

Project Management

  • Assist in coordinating project plans, activities and implementation
  • Organize project activities, schedule meetings, take minutes, manage resources, and facilitate communication between teams and stakeholders.
  • Track project progress through approved platforms, create progress reports, and ensure deliverables meet agreed timelines
  • Handle administrative tasks like data entry, formatting documents, and supporting senior staff.


General Administration

  •  Take leadership in keeping diaries, scheduling meetings, taking minutes and generating reports of key activities of the office of the Vice President
  • Take leadership in organizing review meetings, workshops and seminars with stakeholders
  • Assist in the day-to-day running of the Home Office including personnel matters, inventory and stock control and appropriate record keeping
  • Arrange meetings, compile agendas, diaries and circulate papers and minutes of meetings to provide a high level of support to the Home Office team and ensure that accurate records of discussions are produced
  • Ensure office is open and closed at designated times on working days
  • Contribute to the planning and execution of departmental activities and programs
  • Assist in the preparation of annual work plans and budgets of SWC-G.
  • Assist in the procurement and distribution of office supplies
  • Participate in the preparation and submission of the divisional or departmental periodic reports.
  • Keep proper records of office inventory and equipment.
  • Supervise the activities of utility staff
  • Perform any other duties that may be assigned from time to time.
  • Maintain high level of trust and confidentiality


Finance

  • Validate bills and analyze receipts and payments.
  • Keep proper accounting books as assigned, and maintain adequate records including filing of accounts documents
  • Petty cash requisition, administration and retirement
  • Invoice vetting, payment logging, payment processing
  • Check issuance and payments
  • Issuance of receipts for inbound payments and receiving of receipts for outbound payments
  • Assist in the preparation and filing of statutory tax returns (e.g. Withholding Tax, PAYE, SSNIT) 


Required Skills or Experience

  • Minimum of bachelor’s degree in business administration preferably with accounting option
  • A certificate in Project Management will be an added advantage
  • Excellent writing and verbal communication skills.
  • Ability to organize workload and work under pressure to meet tight deadlines.
  • Demonstrated ability to work on own initiative.
  • Computer skills. Microsoft Office Suit especially Microsoft Word and Exel is a MUST
  • At least 2 years of post-qualification experience
