Job summary

The Executive Assistant provides high-level administrative, organizational, and strategic support to senior executives. This role requires exceptional professionalism, discretion, time-management skills, and the ability to anticipate executive needs. The Executive Assistant acts as a trusted partner, enabling executives to focus on strategic priorities by managing schedules, communications, and key operational tasks.

Job descriptions & requirements

Key Responsibilities:

  •  Manage complex calendars, scheduling meetings, appointments, and travel across multiple time zones
  • Prioritize and coordinate daily activities to ensure optimal use of executive time
  • Prepare executives for meetings by organizing agendas, documents, and briefing materials
  • Act as a gatekeeper, handling incoming requests and determining priorities
  • Draft, review, and edit correspondence, reports, and presentations on behalf of executives
  • Represent the executive professionally in communications with internal and external stakeholders


Administrative & Operational Support:

  • Coordinate domestic and international travel, including itineraries, accommodations, and expenses
  • Manage expense reports, invoices, and reimbursements accurately and on time
  • Maintain confidential files, records, and executive documentation
  • Assist with special projects, research, and data analysis as assigned
  • Track action items and follow up to ensure deadlines are met
  • Support office operations and executive workflow improvements


Communication & Liaison:

  • Serve as a primary point of contact between executives and staff, clients, partners, and board members
  • Facilitate communication across departments to ensure alignment and follow-through
  • Schedule and support board meetings, executive meetings, and leadership offsites
  • Take meeting minutes and distribute action items when required


Confidentiality & Discretion:

  • Handle sensitive and confidential information with the highest level of discretion
  • Maintain trust and professionalism in all interactions
  • Exercise sound judgment when managing confidential matters and executive decisions


Strategic & Problem-Solving Support:

  • Anticipate executive needs and proactively address potential issues
  • Identify inefficiencies and recommend process improvements
  • Assist in planning and executing company initiatives and leadership priorities
  • Provide backup support to other executive or administrative staff as needed


Required Qualifications:

Education:

  • Bachelor’s degree preferred (or equivalent professional experience)

Experience:

  • 3–5 years of experience as an Executive Assistant or Senior Administrative Assistant
  • Proven experience supporting C-level or senior executives
  • Experience working in fast-paced, dynamic environments


Skills & Competencies:

  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • High attention to detail and accuracy
  • Ability to manage multiple priorities under tight deadlines
  • Strong problem-solving and critical-thinking skills
  • Proficiency in Microsoft Office, Google Workspace, and scheduling tools
  • Ability to work independently and collaboratively
  • Professional demeanor and executive presence


Preferred Qualifications:

  • Experience supporting multiple executives
  • HND/Degree in Administration or related field
  • Familiarity with project management tools (e.g., Asana, Trello, Monday)
  • Experience coordinating board meetings or executive-level events
  • Knowledge of financial or expense management systems


Working Conditions:

  •  Primarily office-based or hybrid (depending on company policy)
  • May require flexibility in hours to accommodate executive schedules
  • Occasional travel may be required
