Job Summary

Lead and manage the end-to-end delivery of the Little Scholar Program, ensuring high-quality identification, verification, onboarding, case management, school coordination, welfare support, monitoring, reporting, renewals, and orderly exits for sponsored orphans. Uphold safeguarding, rigorous documentation and compliance, and timely, accountable service in line with Ghana Islamic Society for Education and Reformation (GISER) policies, donor requirements, and Ghanaian regulations.

Job Description/Requirements

Key Responsibilities

Programme Management

  •  Lead day-to-day implementation from intake to exit.
  • Prepare an annual work plan and monthly field schedule aligned to approved targets and budget.
  • Coordinate with schools on admissions, attendance, academic progress, fees, uniforms, books, and meals.
  • Plan and deliver verified distributions (uniforms, stationery, food parcels) with signed beneficiary lists

Beneficiary Intake, Verification and Safeguarding

  • Conduct household and school assessments using approved tools and eligibility criteria; compile complete case files (IDs, birth/death certificates, guardian details, consent).
  • Always Enforce Child Protection and Safeguarding Policy.
  • Maintain referral pathways with the Department of Social Welfare, health facilities, and protection services.

Case Management and Family Engagement

  • Maintain accurate digital and hard-copy case files (baseline, visit notes, termly school reports, photos with consent).
  • Agree simple care plans with guardians; track attendance, learning progress, and welfare risks.
  • Conduct scheduled home/school visits by risk tier; escalate red flags promptly.


Monitoring, Evaluation and Learning (MEL)

  • Track core indicators such as enrolment, attendance, retention, progression, and incidents.
  • Produce monthly, termly, and annual reports for the Executive Secretary and the Orphan Committee.
  • Keep dashboards and registers current; capture lessons learned and propose improvements. 

Finance, Compliance and Procurement

  • Work closely with the GISER Financial Controller to prepare monthly disbursement schedules and beneficiary payment lists.
  • Ensure compliance with GISER policies, Delegation of Authority, data-protection requirements, and relevant Ghanaian regulations.


Donor Communications and Visibility

  • Prepare beneficiary updates, termly/annual summaries, and success stories with valid consent and privacy safeguards.
  • Plan and deliver up to three annual donor engagement events: Iftar, one Eid celebration, and an optional meet and greet when donors visit to meet sponsored orphans.
  • Support donor field visits and briefings; provide timely inputs for proposals and reports to the Executive Secretary.

Partnerships and Representation

  •  Build effective relationships with schools, District Education Offices, the Department of Social Welfare, community leaders, and NGOs.
  • Represent Ghana Islamic Society for Education and Reformation (GISER) professionally in meetings, networks, and relevant forums.

Logistics and Administration

  • Plan field travel and visit schedules; maintain simple logs (travel, distributions, assets).
  • Organise programme documents in Google Drive using agreed folder structures and naming conventions.
  • Coordinate basic procurement requests with Admin/Finance as per the Delegation of Authority.

Risk Management

  • Maintain a live risk register (safeguarding, fraud, data privacy, security, reputational).
  • Report incidents within required timelines; track corrective actions to closure and brief the Orphan Committee on material risks. 


Qualifications and Experience

Essential

  • Bachelor’s degree in social work, Education, Community Development, Public Administration, or related field.
  • 3–5 years’ experience delivering a similar programme (e.g., orphan sponsorship, child welfare, or social protection) with hands-on case management and fieldwork.
  • Proven experience working within a non-governmental organisation (NGO)/charity environment in Ghana, including donor expectations and basic compliance.
  • Demonstrated experience working with schools and local authorities in Ghana.
  • Strong documentation discipline: case files, consents, visit notes, and termly reporting.
  • Solid understanding of safeguarding and child protection practice.
  • Working knowledge of Monitoring, Evaluation and Learning ( MEL ) basics.
  • High integrity and discretion handling sensitive beneficiary information. 

Desirable

  •  Short courses/certifications in child protection, case management, or Monitoring, Evaluation and Learning (MEL).
  • Experience coordinating multi-district programmes and volunteers.
  • Valid Ghanaian driver’s licence and readiness for regular travel. 

Digital Proficiency

  • Google Workspace (Docs, Sheets, Drive) or Microsoft Office.
  • Comfort with simple case-tracking tools/CRMs and Mobile Money ( MoMo ) verification workflows (non-payment handling).
  • Basic data-protection practices (access controls, file naming, secure sharing).
