Administrative
Support:
- Maintain office supplies inventory and place orders when necessary.
- Organize and maintain filing systems, both physical and digital.
- Handle incoming and outgoing correspondence, including emails, calls and letters.
- Schedule meetings and appointments for management.
- Assist in preparing reports, presentations, client data and other documents.
- Support for field teams.
Office
Maintenance & Management:
- Ensure the office remains clean, organized, and well-equipped.
- Manage office utilities, including internet, electricity, and water.
- Coordinate with vendors, suppliers, and service providers.
- Ensure company equipment and assets are well maintained.
- General office errands.
Reception
Duties:
- Greet visitors and direct them to the appropriate personnel.
- Answer phone calls and respond to inquiries professionally.
- Maintain an updated contact list of stakeholders.
Data
Entry & Record Keeping:
- Maintain updated employee records, attendance logs, and office expenditures.
- Prepare and submit weekly and monthly reports.
Compliance
& Policy Adherence:
- Ensure compliance with company policies and procedures.
- Uphold confidentiality in handling company documents and sensitive information.
- Quality assurance and inspection.
Requirements:
- Possess a valid driver's license.
- A minimum of a diploma or equivalent.
- A degree or certification in business administration, office management, accounting or a related field is an advantage.
- At least 1-3 years of experience in an administrative or office assistant role.
- Experience handling office inventory, filing systems, and correspondence.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office equipment such as printers, scanners, and copiers.
- Knowledge of basic bookkeeping and inventory management software is an added advantage.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with discretion.
- Detail-oriented and able to multitask efficiently.
- A proactive and problem-solving attitude.
- Willingness to take initiative and work with minimal supervision.
- Strong work ethic and professional demeanor.
- Ability to follow instructions accurately.

- Willingness to work full-time (8 AM - 5 PM, Monday to Friday).
