Job Summary

This role is vital to the smooth administrative operations of the fleet department. This individual will mainly be in charge of managing the fleet database systems, creating and managing physical and virtual filing systems amongst others. The role requires an individual with strong multitasking and organizational skills.

Job Description/Requirements

Responsibilities:

  • Responsible for proper vehicle setup on fleet management systems and regularly update with relevant information.
  • Set and monitor alerts on fleet management system for vehicle maintenance, insurance and registration license expiry, driver license renewals and ensure renewals are completed before expiry.
  • Create and manage physical and virtual vehicle files for vehicles and drivers, and regularly update with relevant information as may be required.
  • Schedule vehicles for maintenance activities, including physical vehicle inspections.
  • Draft vehicle servicing letters for dealerships.
  • Prepare vehicle wash schedules and update on fleet management and cloud system regularly.
  • Raise work orders for vehicle maintenance activities.
  • Validate final repair invoice and update on fleet management system.
  • Complete periodic reports for vehicle inspections, trips and driver training in a timely manner.
  • Complete a requisition form for trip requests.
  • Conduct a post-trip interview and provide updates for next trip.
  • Fill insurance claim form and ensure accident details are updated on fleet management systems.
  • Liaise with tracking company to acquire tracking devices.
  • Monitor assets and communicate any inactive devices to team.


 

Skill Requirements:

  • Knowledge in database management will be an added advantage
  • Multitasking and great organizational skills
  • Detail oriented with time management skills
  • Excellent oral and written communication skills.
  • Possess analytical skills
  • Proficiency in Microsoft Application with above average experience in MS. Excel
  • Proactive with problem solving skills
