Job Summary

This position requires excellent organizational skills, exceptional attention to detail, and the ability to handle confidential information with discretion. The Executive Assistant serves as a key point of contact, both internally and externally, and plays a vital role in ensuring the smooth operation of the executives office.

Job Description/Requirements

Responsibilities:

  • Manage and maintain the executive's calendar, schedule appointments, and coordinate meetings, conferences, and travel arrangements.
  • Act as a liaison between the executive and internal/external stakeholders, including clients, partners, and employees.
  • Manage and prioritize incoming communications, including emails, calls, and mail, ensuring appropriate follow-up.
  • Coordinate and facilitate effective communication within the executive's team and across departments.
  • Assist with project planning, coordination, and tracking, ensuring deadlines are met and deliverables are achieved.
  • Monitor progress on projects and initiatives, follow up on action items, and provide status updates to the executive.
  • Assist in the coordination and preparation of board meetings, including compiling materials and recording minutes.
  • Handle confidential and sensitive information with utmost discretion and maintain strict confidentiality at all times.
  • Adhere to professional and ethical standards, acting as a representative of the executive and the organization.


Requirements:

  • Proven experience as an executive assistant or in a similar administrative role supporting senior management.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
  • Strong written and verbal communication skills, including professional phone and email etiquette.
  • Proficiency in office productivity tools (e.g., Microsoft Office Suite, Google Workspace) and other relevant software.
  • Exceptional attention to detail and accuracy in all work.
  • Ability to anticipate needs, solve problems proactively, and make independent decisions.
  • Discretion and integrity in handling sensitive and confidential information.
  • Strong interpersonal skills and the ability to build relationships with individuals at all levels of the organization.
  • Flexibility and adaptability to changing priorities and fast-paced environments.


Education & Experience:

  • A degree in business administration or related course
  • 2+ years of experience in a similar role
