The Executive Assistant provides administrative, organizational, and logistical support to executives, allowing them to focus on strategic tasks and decision-making.

Job Description/Requirements
Key Responsibilities:
Administrative Support:
- Manage and maintain executives calendars, appointments, and meetings.
- Coordinate and arrange travel, accommodations, and itineraries for business trips.
- Prepare and organize documents, reports, presentations, and correspondence.
- Handle phone calls, emails, and other forms of communication on behalf of the executive.
Information Management:
- Maintain confidential records and sensitive information.
- Conduct research and compile data to support executive decision-making.
- Create and manage filing systems, both physical and digital.
Meeting and Event Coordination:
- Schedule, plan, and coordinate meetings, conferences, and events.
- Prepare meeting agendas, distribute materials, and take meeting minutes as needed.
- Arrange catering, audiovisual equipment, and other logistical details for events.
Communication Liaison:
- Serve as a point of contact between the executive and internal/external stakeholders.
- Screen, prioritize, and route incoming communications to the appropriate parties.
- Draft and edit executive-level correspondence and communications.
Project Assistance:
- Assist with special projects and initiatives as assigned by the executive.
- Manage timelines, track progress, and ensure project deadlines are met.
- Collaborate with other team members to facilitate project execution.
Office Management:
- Maintain office supplies and equipment, and order new supplies as needed.
- Coordinate office maintenance and repairs when necessary.
- Handle petty cash and expense reporting for the executive.
Problem-Solving:
- Identify and resolve administrative and operational issues independently.
- Anticipate needs and proactively address challenges to streamline workflow.
Qualifications:
- MBA/Bachelors degree or equivalent experience preferred.
- Proven experience as an executive assistant or in a similar administrative role.
- Exceptional organizational and time management skills.
- Strong communication, interpersonal, and multitasking abilities.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Discretion and the ability to handle confidential information with care.
- Flexibility to adapt to changing priorities and work independently.
- Strong attention to detail and accuracy.
