Job Summary

We are seeking a proactive and detail-oriented Events Administrative Officer to support the planning, coordination, and execution of client events and manage our event centers. The successful candidate will work closely with the Events Manager - Operations to ensure exceptional event experiences, maintain efficient administration, and oversee the upkeep of all events-related facilities.

Job Description/Requirements

Key Responsibilities:

  • Meet with potential clients to understand their event needs and expectations in collaboration with the Events Manager - Operations.
  • Attend site visits with clients, including third-party venues, to evaluate suitability and logistics.
  • Provide creative direction tailored to the client’s vision, inspiration, and personality.
  • Maintain regular communication with clients on the progress of their event preparations.
  • Stay up-to-date with trends and technologies in the events industry and provide timely recommendations to the Deputy CEO and COO.
  • Coordinate with vendors and all relevant stakeholders to ensure seamless execution of event plans.
  • Assist with all event set-up, breakdown, and post-event activities alongside the Events Manager.

Operations:

  • Prepare and maintain proper filing of invoices, receipts, and all documentation related to events (all invoices must receive prior approval from the Deputy CEO/COO).
  • Draft and distribute corporate proposals upon internal approval.
  • Support vendor negotiations and track expenses to ensure adherence to event budgets.
  • Assist in developing marketing and promotional content, leveraging social media and other platforms.
  • Coordinate tasks among team members, foster collaboration, and support team motivation for successful event delivery.
  • Oversee management of all company-owned Events Centers in Accra and Tema, ensuring cleanliness, facility maintenance (e.g., generators, air conditioning, pools, lighting), and operational readiness.
  • Collaborate with the production team—including florists, loaders, drivers, and décor teams—to realize client expectations.



Qualifications & Requirements:

  • Degree or equivalent qualification in Business Administration, Event Management, Hospitality, or related field.
  • 2–3 years of relevant experience in events coordination or administrative roles.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Creativity and attention to detail.
  • Proficiency in Microsoft Office Suite; familiarity with project management tools is a plus.
  • Ability to work under pressure and manage multiple events simultaneously.
  • Willingness to travel to event sites across Accra and Tema.



Reporting Line:

  • Reports to the Events Manager – Operations and works closely with the Deputy CEO and COO.
