Job Summary

The Business Coordinator is responsible for driving the commercial operations of the company's Labs after production — ensuring product movement, order tracking, and strong partnerships across distributors, wholesalers, and retailers. This role focuses on maintaining an active sales network, supporting business growth, and ensuring accurate documentation and communication between the field and management.

Job Description/Requirements

Key Responsibilities:

Distribution and Sales Coordination

  • Oversee product flow from warehouse to distributors, wholesalers, and retail outlets.
  • Track stock levels, incoming and outgoing orders, and ensure timely replenishment.
  • Maintain a structured record of orders, delivery confirmations, and client communications.
  • Provide the founder with regular stock and order status reports.


Business Development

  • Proactively seek new distributors, wholesalers, and retail partners across Ghana and key regions.
  • Identify sales opportunities, present the company's  products, and secure new business agreements.
  • Conduct regular market visits to ensure visibility, brand presence, and feedback collection.
  • Build and maintain long-term relationships with key partners to drive consistent growth.


Retail and Channel Management

  • Visit and monitor salons, supermarkets, and retail points carrying the company's products.
  • Ensure branding, product display, and customer experience align with company standards.
  • Gather feedback on pricing, demand, and competitor activity to inform strategy.
  • Support promotional activities, including sampling, product demos, and local marketing.


Influencer and Marketing Coordination

  • Manage influencer partnerships and ensure campaign deliverables are met on schedule.
  • Coordinate product dispatch for influencers, PR kits, and event collaborations.
  • Prepare engagement summaries and performance feedback after each campaign.
  • Work with the marketing team to ensure consistent brand representation across platforms.


Contract and Partnership Administration

  • Draft and manage contracts for distributors, wholesalers, influencers, and retail partners.
  • Maintain accurate, organized digital records for all agreements and renewals.
  • Ensure all partner obligations and timelines are clearly documented and tracked.


Financial and Administrative Reporting

  • Maintain accurate tracking sheets for orders, sales, and distribution performance.
  • Prepare monthly summaries for submission to the accountant and founder.
  • Ensure all business records (invoices, receipts, contracts) are correctly filed and accessible.
  • Collaborate with the accountant for reporting and audit support when required.


Communication and Coordination

  • Serve as the bridge between the founder, personal assistant, and business partners.
  • Provide clear and timely updates on market progress, opportunities, and challenges.
  • Ensure smooth coordination of distribution and promotional activities.



Qualifications:

  • Experience in business coordination, distribution, or sales management (preferably in beauty, cosmetics, or consumer goods).
  • Excellent communication, negotiation, and relationship-building skills.
  • Strong organizational and reporting abilities.
  • Proficiency with spreadsheets, order tracking tools, and basic CRM systems.
  • Self-driven, reliable, and able to work both independently and as part of a dynamic team.
  • Comfortable conducting field visits and liaising with multiple stakeholders.



Performance Indicators

  • Growth in distributor and retail network.
  • Timely and accurate reporting on orders and stock levels.
  • Strong relationships with distributors, wholesalers, and retail partners.
  • Market visibility and adherence to brand standards at sales points.
  • Consistent achievement of order and growth targets.


Compensation

  • Salary range: GHS 45,000 – 65,000 per year, depending on experience and network strength.
  • Additional incentives may apply based on performance metrics such as new distributor acquisition, order growth, and sales volume.
