Job Description/Requirements
Prime Responsibilities:
- To be an ambassador for Business Travel Management Ltd. (Weighted based on the feedback from customers by using questionnaires collated annually, target is 80% positive feedback. Below 80% results to loss of all scores allocated).
- Ensure all Business Travel Management Limited Service standards are closely adhered to in particular: Phone answering & Email etiquette. (Measurement scale: Monitoring of mails and phone calls, target is 80%. (On a scale of 79% – 60% 1 appraisal point will be deducted, 59% - 40% 2 appraisal points will be deducted, 39% downward loss of all scores allocated)
Financial Reporting:
- Prepare accurate and timely management accounts and reports.
- Supervise the recording of transactions, journal entries, and reconciliations to ensure the accuracy and integrity of all financial records in the General Ledger.
- Manage month-end and year-end closing processes, including preparing necessary accruals, adjusting entries, and ensuring a timely and smooth closing process.
- Develop and maintain monthly reports comparing actual financial performance against budgeted figures, providing comprehensive variance analysis and insights.
- Conduct financial analysis and performance evaluations to assess the company's financial health, identify trends, and recommend actions for improvement.
- Assist in budget preparation and conduct variance analysis.
- Collaborate with cross-functional teams to ensure proper financial controls and risk management practices.
Compliance and Internal Controls:
- Stay updated on relevant accounting standards and regulatory requirements.
- Ensure compliance with relevant accounting standards, company policies.
- Implementing and maintaining internal controls to safeguard assets and prevent financial misstatements.
- Assist with audits and financial assessments.
- Collaborate with internal and external auditors, providing necessary documentation, explanations, and support during audits.
Credit Control:
- Maintain accurate records of client debt and refunds
- Oversee effective receivable collection and implement changes reduce debts.
- Negotiate payment plans with customers and resolve any client issues or disputes with Key Account Managers.
- Other duties within the Financial and Accounting unit work scope or as might be infrequently required:
- Act as Leave Cover/ Support non- Accounts Officers; Manage external relationships where applicable.
- Support on the Job-training to members in the department.
- Where applicable, all personnel working from home must log in latest 5 minutes after work time.
Role Specific Duties:
- Manage the financial accounting function of the organization: Compliance and Internal Controls, Credit Control, and Financial Reporting. Also oversee cashflow management, budgeting, treasury, investment and revenue collection drive.
- Providing accurate and reliable financial information to support strategic decision-making, and ensuring compliance with financial regulations and standards.
- Maintain good rapport with customers-(minimum of 80% account management customer survey score)
- Motivate team members and ensure productivity and efficiency of allocated resources
- Protect the company from fraudulent acts
- Other duties as may be assigned.
Educational Qualifications & Experience:
- Minimum of a Bachelor’s degree in any of the Finance or Accounting. Professional qualification is a must.
- At least seven (3-5) years’ experience total or two (2) years preferably within the industry in financial reporting, budgetary control, funds management, performance management, planning, tax & statutory reporting.
- Must have experience in core finance operations. Proficient in the use of Microsoft Office application.
- Strong understanding of accounting principles, budget and financial reporting standards.
- Excellent analytical and problem-solving skills.
- Strong attention to details and accuracy.
- Effective communication and interpersonal skills.
- Ability to work independently, manage multiple tasks, and meet deadlines.
- Knowledge of accounting software is preferred.
- Level of Responsibility to cover certain tasks within a unit and demonstrate ownership of such tasks with little or no supervision. Also expected to cover at least 2 projects and/ or 2 team members in the delivery of their respective tasks. Provide direction to projects and/ or staff on level 2, maximizing resources and leveraging process automation. Escalate to level 4 (where applicable).

- Ability to plan and execute instructions from superiors; Must be able to work and deliver under pressure.
