Job Description/Requirements
Required Qualifications:
- Have a tertiary certification in Administration or a related course.
- Have at least three years of experience in administration
- Strong written and spoken communication skills
- Strong organizational and time management skills
- Tech savvy – experience working with a variety of software, apps and CRM tools
- Basic financial management skills, including handling petty cash and managing invoices.
- Strong interpersonal skills and customer service orientation.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Ability to work in a standing position for long periods.
- Detail-oriented and a fast learner.
- Experience working in a fast-paced environment and problem-solving.
Preferred Qualifications:
- Have knowledge of service and food and beverage, generally involving at least a year of front-of-the-house operations and/or assistant management positions.
Responsibilities:
Administrative
- Phone calls, emails, What’s App
- Facilities management
- Filing and document management
- Procurement and supply management
- Order fulfillment – Ghana
- Tracking of shipments
Finance:
- Bookkeeping, Monthly accounting checklist
- Invoicing, payment collection and deposits
Events:
- Front of house events management
- Managing reservations and payments for events
Communications:
- Weekly reports
- Plan and document meetings
- Monthly reports
Administrative:
- Manage client communications via phone, email, and WhatsApp Business.
- Filing and document management.
- Maintain office supplies inventory and order as needed.
- Prepare and distribute weekly and monthly reports on operations and customer interactions.
Facilities Management
- Coordinate facilities upkeep and maintain a clean and organized office environment.
- Procurement and Supply Management
- Liaise with vendors for timely deliveries and manage relationships with suppliers
- Order Fulfillment – Ghana
- Oversee and manage the fulfillment process for orders within Ghana, ensuring accurate tracking and customer satisfaction.
Finance
- Assist with basic bookkeeping, invoicing, and managing petty cash.
Events
- Assist with event logistics, including managing reservations, payments, and front-of-house support during events.
Communications
- Update automated responses in WhatsApp Business.
- Plan and document meetings.
In the first month, you will...
Tools
- Familiarize yourself with Gmail, Google Drive, Shopify, WhatsApp Business, Trello
Communications
- Manage all customer service inquiries
- Manage petty cash, receipts, invoice
- Update automated responses in Whatsapp Business
By the third month, you will...
In addition to the above:
- Manage reservations and payments for dinners
- Manage front of house for dinners
Compensation & Benefits:
Compensation
- Based on experience from 3,000 GHS
- All statutory payments to GRA and SSNIT will be applied

Schedule
- 5 days a week, Monday – Friday
- With seasonal and occasional events resulting in late night closure and work on weekends, prior notice will be provided.
