Job summary

This entry level receptionist is responsible to greet visitors, answer their questions, politely enforce security, and extend a warm greeting all who access the facility. He or she will also perform duties such as answering and forwarding phone calls, sorting and filing records, and performing other clerical tasks requiring basic knowledge of systems or procedures.

Key Responsibilities

  • Maintains a personal relationship with Jesus Christ. Is a consistent witness for Jesus Christ, maintains a courteous, Christ-like attitude in dealing with people within and outside of Compassion, and faithfully upholds Compassion’s ministry in prayer.
  • Acts as an advocate for children. Understands and advances Christ's mandate to protect children. Raises awareness of the needs of children and takes active steps to help protect against neglect, abuse, and exploitation of children. Promotes the dignity, respect, positive treatment, potential of children in all circumstances. Encourages the involvement of others in helping children in need. Reports and appropriately supports responses to incidents of harm of children if they occur.
  • Serves visitors by greeting, welcoming, directing, and announcing them appropriately.
  • Answers, screens, and forwards any incoming phone calls while providing basic information when needed.
  • Maintains security by following procedures and controlling access. Monitors logbook and issues visitor badges.
  • Receives and sorts daily mail/deliveries/couriers.
  • May perform other light clerical duties if called on as primary duties allow. Assist with scheduling meetings, appointments, and travel arrangements.

Front Desk Management

  • Provide Admin Support to the National Director when required
  • Edit and write report when required
  • Provide support to the Business Support Department and staff
  • Ensure that all visitors received visitors tags before entering the office.
  • Ensure that the entry doors for the main office is always locked
  • Appropriately give access to screened visitors to the main office
  • Receive & sort daily mails, parcels & other deliveries made at the front desk
  • Ensure areas of Printers and Photocopiers are tidied
  • Report all faults to the Facilities Technician for immediate attention

Management of Corporate Database

  • Manage the corporate vendor database
  • Monthly update the vendor database with approvals from the SBS & SMBS
  • Prepare a schedule for the corporate rates of all hotels – local travels
  • Consolidate the schedule for corporate rates for all other vendors used by Compassion
  • Act as a liaison between compassion and Telecel to process SIM swaps for FCPs and the National office staff

Travel Arrangements

  • Manage reservations & bookings for all local travels i.e. accommodations, meals if needed
  • Prepare a schedule for all vendors/outstanding payments to be accrued and submitted to Snr. Admin Assistant for collation.

Tea Set Up

  • Ensure that Tea-setup for meetings are done in time
  • Conference rooms are cleaned and for walk-in meetings
  • Manage the conference Rooms

Level S1

  • Understands how the assigned duties integrate with others in the team

  • Uses existing procedures to solve straightforward problems; has limited opportunity to exercise discretion
  • Impacts the accuracy of own work; receives close supervision; duties are clearly defined, and methods and tasks are described in detail
  • Uses communication skills and common courtesy


Qualifications

  • Faith: Has a personal relationship with Jesus Christ.
  • Culture: Accountable for supporting, upholding, and engaging in Compassion's core "Cultural Behaviors" in all internal and external communication and relationships.
  • Education: High School Diploma Business Administration, Technology, or related discipline


Work Experience

  • 2 years of experience is required.
  • Licenses and Certifications
  • Equivalent education, training and/or certification may be substituted for experience and education shown above ***
