Job summary
To provide proactive executive, strategic, and administrative support to the Managing Director, ensuring the efficient operation of the Executive Office and the effective coordination of key business priorities. The role serves as a trusted partner to the Managing Director by managing executive schedules, coordinating strategic initiatives, facilitating communication with internal and external stakeholders, and ensuring the timely follow-through of critical decisions and projects that support the achievement of the Company’s strategic objectives

Main Duties & Responsibilities
- Provide high-level executive and administrative support to the Managing Director, including managing schedules, meetings, correspondence and travel arrangements.
- Coordinate Executive Committee, Board and management meetings, including agendas, documentation, minutes and follow-up on action items.
- Support the execution of the Company’s strategic priorities by tracking initiatives, monitoring progress and coordinating cross-functional activities.
- Prepare executive reports, presentations, dashboards and briefing materials to support informed decision-making.
- Coordinate engagements with key stakeholders, including regulators, Hollard International, brokers, reinsurers, business partners and other strategic stakeholders.
- Conduct research and analyse business and industry trends to provide insights that support strategic initiatives.
- Coordinate special projects and business transformation initiatives assigned by the Managing Director.
- Maintain a high level of professionalism, confidentiality and efficiency in managing the Executive Office.
Qualifications and Competencies
- Bachelor’s degree in business administration, Finance, Insurance or a related discipline
- A relevant professional qualification or certification (e.g. Insurance, Project Management, Business Analysis, Corporate Governance or Insurance) will be an added advantage.
- Minimum of 5–8 years’ relevant experience in executive support, executive office management or business coordination, with at least 3 years supporting a Managing Director or other senior executive.
- Experience coordinating executive meetings, Board or Committee activities, strategic projects and stakeholder engagements.
- Excellent organisational, planning and prioritisation skills.
- Strong business writing, report preparation and presentation skills.
- Excellent verbal and written communication skills.
- Strong analytical, research and problem-solving abilities.
- Ability to manage multiple priorities and deliver under pressure.
- Ability to work independently and exercise sound judgement.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint and Outlook. Experience with Power BI and other productivity tools will be an advantage.
