Job summary
The Administrative Assistant supports the Country Director (CD), Operations Director (OD), and other CET personnel with a variety of administrative and logistical tasks throughout all phases of the Country Engagement Cycle for a specific country. The role holder may be asked to complete tasks outside of his/her official scope of work and should remain flexible to do so.

Key Responsibilities: Administrative and Logistics
Throughout the 5-year Country Engagement Cycle:
- Ensure that visitors to the office are warmly welcomed and their questions addressed.
- Ensure office is well maintained and organized.
- Liaise with the OD regarding the office and team lodging cleaning, catering, repairs, and security services.
- Purchase food and supplies for the office and/or team lodging as directed.
- Schedule meetings and appointments.
- Assist with travel and lodging arrangements for CET members going abroad and incoming visitors, if request d.
- Identify a travel agency that can book internal flights for in-country teams and ship personnel.
- Assist with written communication, such as for official letters and emails.
- Provide translation and interpretation support.
- Ensure timely delivery of packages and letters.
- Take responsibility for managing petty cash for the team before an accountant is hired, if directed by the OD.
- Coordinate with the Information Technology (IT) team on all concerns related to office technology.
- Collect partner contact information from CET members on a regular basis and input into Salesforce contact a agement system.
- Plan off-site team activities on occasion, as directed.
- Provide administrative and logistical support for special events as directed by the CD and OD.
Advance:
- Develop a country information book to be used by crew on the vessel and a vision trip fact sheet inclusive of elevant contacts, such as for airlines, hotels, drivers, rental cars, restaurants etc.
- Seek out potential partners for Mercy Ministries, such as schools, orphanages, churches etc.
- Assist Hospital Chaplaincy to organize a training for Simply the Story (STS) if requested.
- Other duties as assigned.
Qualifications (Knowledge, Skills, Abilities, and Requirements):

- Must be accomplished in both English and working language of the government.

- Demonstrate dedication and self-motivation.
- Possess a strong customer service mindset including attitude and approach.
Education and Experience:
The requirements listed below are representative of the education and/or experience required.
- One year of experience with Mercy Ships as Crew, Day Crew, or working with the ASC desirable.
- Two years of experience as an Administrative Assistant highly preferred, ideally working in a non-government l organization (NGO) with exposure to diplomacy.
- A bachelor’s degree or certificate in administration desirable.
- Ability to translate and interpret from English to working language of the government and vice versa.
- Proficient with Microsoft Word, Excel, Power Point and Outlook; willingness to learn Salesforce.
Other Information:
- Successful completion of Mercy Ships’ On Boarding program and Country Engagement Training will be required within the first year or when otherwise offered.
