Job summary

The Business Manager (BM) serves as the primary point of contact for the Principal across a portfolio of projects, business engagements, and stakeholder relationships. The BM provides high-level executive, financial, and operational support —coordinating between the Principal and project leads, employees, partners, suppliers, and clients — while ensuring sound financial administration, effective project oversight, and timely, accurate reporting. The role requires professional composure and credibility when engaging with individuals at every level, from CEOs to frontline staff, and includes occasional travel.

Key Responsibility Areas

Project Management

  • Serve as the Principal's primary point of contact across multiple concurrent projects, activities, and business engagements.
  • Track project milestones, deliverables, timelines and dependencies on behalf of the Principal, flagging risks, delays, bottlenecks or issues requiring the Principal's attention.
  • Liaise with the Principal and project leads/teams to ensure alignment on priorities, decisions, and next steps.
  • Maintain an up-to-date project tracker/dashboard covering all active projects and their status.
  • Coordinate action items arising from meetings, ensuring follow-through and accountability across responsible team members.
  • Support project planning activities, including scoping discussions, resource identification, scheduling of key project phases and coordination of related project meetings.
  • Identify interdependencies between projects and escalate potential conflicts in timing, resources, or priorities.


Financial Administration

  • Develop, review, and update budgets for projects and business engagements in collaboration with the Principal and relevant teams.
  • Monitor project expenditures against approved budgets, identifying and reporting variances.
  • Vet payment requests and invoices for accuracy, completeness, and appropriate authorisation prior to submission for approval.
  • Prepare regular expenditure reports and financial summaries for the Principal's review.
  • Maintain organised, audit-ready documentation of all expenditures, payment approvals, and budget records.
  • Liaise with finance/accounts/audit teams to ensure timely processing of payments and resolution of financial queries.
  • Support the preparation of financial projections and cost-benefit analyses for new or ongoing initiatives.
  • Provide financial administration support ensuring effective coordination and completion of financial administration activities


Project Implementation Support

  • Provide hands-on support to project leads and teams during project execution, helping to remove bottlenecks and coordinate resources.
  • Assist in the preparation of implementation plans, work plans, and task allocations.
  • Monitor adherence to agreed project plans and timelines, proactively surfacing delays or resource gaps to the Principal.
  • Coordinate with vendors, suppliers, and external partners to ensure timely delivery of goods/services required for implementation.
  • Support with quality assurance by verifying to ensure that all project deliverables strictly meet agreed specifications/standards before sign-off and payment.
  • Coordinate onboarding for new project team members or partners by ensuring timely access, relevant documentation, and briefings.
  • Conduct inspection and audit of projects and engagements and provide a report on same to the Principal.


Executive Support & Relationship Management

  • Manage the Principal's calendar, scheduling and prioritizing project appointments, meetings, and engagements.
  • Prepare briefing notes, speaking points, and other reading materials ahead of meetings, calls, and events.
  • Draft, review, and manage project and programmes correspondence on behalf of the Principal with partners, clients, suppliers, and employees.
  • Act as a professional and trusted liaison between the Principal and stakeholders at all levels— from CEOs and senior executives to junior employees — ensuring consistent, appropriate representation of the Principal.
  • Coordinate travel logistics (itineraries, accommodation, etc.) for the Principal's travels.
  • Maintain discretion and confidentiality in handling business transactions, financial, and personal information.
  • Build and sustain productive working relationships with key partners, clients, and internal teams to facilitate smooth collaboration.
  • Represent the Principal in select meetings or engagements when delegated, ensuring accurate relay of outcomes and decisions.


Reporting

  • Prepare regular status reports on projects, activities, and business engagements for the Principal.
  • Compile and present financial and expenditure reports, highlighting key variances, risks, and recommendations.
  • Draft summary reports, briefing documents, and presentations for internal and external stakeholders as required.
  • Consolidate updates from various project leads/teams into unified reports for the Principal's decision-making.
  • Maintain accurate records and documentation to support reporting, audits, and future reference.
  • Track and report on key performance indicators (KPIs) relevant to projects and business engagements.
  • Ensure reports are delivered accurately and on schedule and in appropriate formats


Key Working Relationships

  • Principal: Direct daily support, briefing, scheduling, decision support
  • Project Leads/Teams: Coordination on project status, implementation, and issue resolution
  • Employees: Liaison on operational matters and follow-ups on behalf of the Principal
  • Partners & Clients: Relationship management, correspondence, meeting coordination
  • Suppliers/Vendors: Payment vetting, delivery coordination, issue resolution
  • Finance/Accounts: Team Budget development, expenditure tracking, payment processing


Qualifications & Experience

  • A minimum of a Bachelor's degree in Business Administration, Finance, Management, or a related field (Master's degree preferred).
  • Minimum of [10] years' experience in a business management, executive support, project coordination/management, or similar role.
  • Demonstrated experience in project management, budget development, financial monitoring, and expenditure reporting.
  • Experience supporting Senior Executives or Principals in a fast-paced, multi-stakeholder environment preferred.

  • Discretion & judgment: High level of professionalism, confidentiality, and sound judgment in handling business transactions, including finances and Principal’s engagements.
  • Problem-solving: Proactive in identifying issues and coordinating solutions during project implementation.
  • Technical proficiency: Competence in office productivity tools (e.g., MS Office/Google Workspace) and familiarity with budgeting or project-tracking software.
