Job Description

Operational

  • You will have a clear strategic view of opportunities to grow the business and will design and deliver on key performance indicators to achieve operation, financial and service targets.
  • Ensure that the organization is operating well, with a smooth efficient service that meets the expectations and needs of customers and clients.
  • You will take responsibility for the detailed day to day management and improvement of operations including sales, service contract management and customer service and future development of the company.
  • Ensuring compliance with all contractual obligations
  • You will play an integral part in enhancing and extending the service offered to the customer as well as seeking new sources and ranges of supply and contract.
  • You should be commercially driven as you will be expected to lead from the front and build the skills within the team.
  • Oversee the maintenance of the office premises, cleaning, repairs, etc, including identifying, selecting and dealing with suppliers, prepare budgets and monitoring cost in relation to the above activities.
  • You will monitor and ensure compliance with all relevant Health & Safety requirements by identifying and minimizing the risk or implementing the appropriate remedial actions.
  • Management of and responsibility for the financial performance of the contracts.
  • To take the lead in identifying and encourage the development and take up more automated working methods where these would add to overall efficiency.
  • To work with directors, managers and staff in business units to ensure that their operational needs are met. The goal is to provide a working environment and facilities such that they can be efficient and effective in their client service activities.
  • To delegate and manage where appropriate duties and task to other members of staff to meet deadlines.
  • To ensure all delegated task or duties are performed efficiently and accurately.
  • You will manage your team by planning, coaching and reviewing performance to make sure that outstanding performance is recognized and rewarded and that training and development needs are addressed.
  • You will be expected to analyze and evaluate all performance information and assess the full impact of developments in relation to staff, business needs and wider issues.
  • You will ensure that all weekly and monthly departmental report are sent to the Managing Director/Deputy accurately and on time to avoid any penalization.
  • You will be expected to attend all client meetings.
  • You will deal with all client complaints in line with the deadlines and provide feed back on any action taken
  • You will ensure that all targets are met within deadlines.
  • You will carry out weekly unannounced visits to sites to check performance and standards.
  • You will be responsible for managing the operations budget efficiently.
  • You will oversee all recruitment and training of staff and will be required to seek approval for all recruitment.
  • To ensure stock levels do not fall below 75% at all times
  • Responsible for holding monthly management meeting to review performance and targets.
  • You will also responsible for developing policies and managing the daily operations of the business.


Financial

  • Approve third party payments through accurate reconciliation of financial records.
  • Monitor and manage invoice payments.
  • Act as the main point of contact for addressing any inquiries and questions related to financial operations.
  • Participate in recruitment activities as well as initiate the performance development training programs.
  • Manage account payables and receivables activities.
  • Develop financial goals and objectives for the team.
  • Conduct finance audit periodically and recommend improvements.
  • Develop financial policies and procedures for operational efficiency.
  • Develop and maintain financial statements for future reference.
  • Assist Senior Managers in financial management and reporting activities.
  • Ensure that financial operational activities are executed and delivered as per the standards set by the company.
  • Develop operational initiatives to achieve financial goals.
  • Monitor and manage expenses within the established budget.
  • Ensure proper maintenance of financial accounting records of all the commercial trading.
  • Manage the relationship with clients and other external agencies including.
  • Ensuring compliance with Vat, Ssnit etc requirements.

Minimum Qualification and Requirements

  • The formal education equivalent of a bachelor’s degree in business administration, marketing, or a related field
  • Five years of experience in the field of Facilities Management or related field
