Inventory & Systems Controller
Job summary
La Boul'Accra is looking for a highly organized, reliable and hands-on Inventory & Systems Controller to oversee inventory operations across our bakery and café branches.This is a key operational role responsible for ensuring that every ingredient, packaging item and supply is accurately received, stored, tracked and distributed throughout the company.

Responsibilities:
- Receive and inspect supplier deliveries.
- Organise and maintain clean, efficient storage areas.
- Ensure all products are stored under the correct conditions (ambient, chilled or frozen).
- Apply FIFO and FEFO inventory management principles.
- Perform regular stock counts and investigate inventory discrepancies.
- Visit all café branches regularly to conduct physical inventory counts and verify stock accuracy.
- Ensure that storage rooms and inventory areas at every branch remain clean, organised and compliant with company standards.
- Identify and report poor storage practices, stock handling issues or operational weaknesses that could result in waste, spoilage or inventory losses, and follow up to ensure corrective actions are implemented.
- Monitor inventory levels across all branches.
- Receive daily stock requisitions from each branch.
- Prepare and coordinate stock transfers to all company locations.
- Notify the Purchasing Officer when products reach their reorder levels.
- Maintain accurate inventory, recipe and stock movement data within STO (StockTake Online).
- Work closely with the Bakery, Pastry and Café teams to ensure that all approved recipe, ingredient and portion changes are accurately reflected in the system.
- Ensure inventory transactions and system records accurately reflect daily operations.
- Monitor compliance with standard recipes and investigate discrepancies between theoretical and actual inventory consumption.
- Identify inconsistencies between physical inventory, production records and system data, investigate their root causes and recommend corrective actions.
- Identify and escalate significant variances in theoretical food cost or gross profit resulting from recipe, ingredient or inventory updates, ensuring management is informed of any issues requiring review.
- Conduct regular operational audits of inventory practices across all departments and branches, ensuring company procedures, recipe standards and inventory controls are consistently followed.
- Work closely with Production, Purchasing and Operations to continuously improve inventory accuracy, inventory processes and operational efficiency across the business.
Candidate Profile
- Previous experience in inventory control, warehouse management or inventory systems within the food industry is required.
- Strong understanding of food storage, shelf life, inventory management and production processes.
- Good understanding of recipes, ingredient usage and inventory consumption.
- Strong analytical and problem-solving skills, with the ability to investigate discrepancies and identify root causes.
- Excellent organisational skills and exceptional attention to detail.
- Honest, reliable and highly accountable.
- Strong communication skills with the ability to collaborate effectively with Bakery, Pastry, Café, Purchasing and Operations teams.
- Comfortable working with inventory management software and Microsoft Excel.
- Experience using STO (StockTake Online) is a strong advantage.
- Willing to travel regularly between our different branches.
- Able to work in a fast-paced environment while maintaining a high level of accuracy.
