Job summary

The Front of House (FOH) Supervisor is responsible for the day-to-day operation of Café Chavela, ensuring exceptional customer service, efficient front-of-house operations, and a clean, safe, and welcoming environment. The role is responsible for supervising the front-of-house team, maintaining operational standards, overseeing café facilities and utilities, managing operational supplies, and ensuring the café is fully prepared to operate each day. The FOH Supervisor leads by example, promotes teamwork between Front of House (FOH) and Back of House (BOH), and takes ownership of the café's daily operational readiness.

Key Responsibilities

Team Leadership
  • Supervise all Front of House staff, including servers, cashiers, floaters, and bar staff.
  • Lead daily pre-shift briefings to communicate daily priorities, menu changes, promotions, and operational updates.
  • Train new team members on Café Chavela's service standards, operational procedures, and customer service expectations.
  • Ensure staff maintain professional appearance, punctuality, grooming standards, and uniform compliance.
  • Manage staff shift breaks to ensure adequate floor coverage and uninterrupted customer service throughout the day.

Customer Experience
  • Ensure every customer receives friendly, professional, and efficient service.
  • Welcome guests and create a warm Café Chavela experience.
  • Resolve customer complaints professionally and escalate where necessary.
  • Monitor customer satisfaction and identify opportunities to improve service quality.
  • Encourage repeat business by building positive relationships with guests.

Daily Operations
  • Oversee all opening and closing procedures in accordance with Café Chavela's approved operational checklists.
  • Ensure all opening and closing tasks are completed before signing off each shift.
  • Ensure the café is clean, organised, and presentation-ready throughout the day.
  • Monitor table turnover and seating efficiency.
  • Coordinate closely with the kitchen to ensure timely food preparation and service.
  • Assist the Back of House (BOH) team with operational duties when required to support the smooth running of the café.

Food Safety & Compliance
  • Ensure all team members comply with Café Chavela's food safety, hygiene, and health standards by correctly wearing and using all required personal protective equipment (PPE), including hairnets, aprons, and gloves.
  • Monitor stock levels of hairnets, gloves, and other required PPE, and place replenishment orders to ensure they are always available.

Procurement & Inventory Management
  • Monitor front-of-house consumables, including takeaway packaging, takeaway bags, napkins, straws, disposable cups, cup lids, cutlery, condiment containers, tissues, cleaning supplies, and other operational items required for the smooth running of the café.
  • Procure replacement stock in a timely manner to ensure operational items are never out of stock.
  • Maintain minimum stock levels and report supply issues promptly.
  • Ensure all operational supplies are stored safely and organised.

POS & Menu Management
  • Ensure all menu items, pricing, modifiers, and promotions are accurately reflected in the Point of Sale (POS) system.
  • Update the POS immediately whenever menu items or prices change.
  • Verify that cash registers and payment terminals are functioning correctly before opening.

Cash Handling
  • Supervise cashiers and ensure cash handling procedures are followed.
  • Assist with daily cash reconciliation and shift reporting.
  • Report any cash discrepancies immediately.

Utilities & Facilities Management
Electricity
  • Monitor the café's ECG prepaid electricity balance on a weekly basis.
  • Ensure the prepaid electricity balance never falls below GHS 500.
  • Arrange timely top-ups to prevent service interruptions.

Gas Management
  • Monitor LPG usage across all four gas cylinders.
  • Ensure gas supplies never fall below one full 54kg gas cylinder.
  • Arrange timely refilling of gas cylinders to ensure uninterrupted kitchen operations.

Internet & WiFi
  • Ensure the café's WiFi subscription is prepaid and renewed each month.
  • Monitor internet connectivity to ensure uninterrupted service during operating hours.
  • Report WiFi outages or connectivity issues promptly to the service provider.
  • Follow up until service has been fully restored.
  • Inform the General Manager of any prolonged outages affecting business operations.

Maintenance
  • Conduct routine inspections of the café.
  • Report accidents, incidents, equipment faults, and maintenance issues immediately.
  • Coordinate routine maintenance, including light bulb replacement, plumbing repairs, electrical faults, furniture repairs, and other building maintenance requirements.
  • Follow up on maintenance requests until they are resolved.

Quality Assurance
  • Conduct regular floor inspections to ensure Café Chavela standards are consistently maintained.
  • Ensure food and beverages are presented according to Café Chavela quality standards.
  • Monitor the cleanliness of customer seating areas, counters, restrooms, and outdoor spaces.
  • Ensure music, lighting, temperature, and overall ambience meet Café Chavela standards.

Key Performance Indicators (KPIs)
  • Customer satisfaction and positive guest feedback.
  • Speed and quality of service.
  • Compliance with opening and closing procedures.
  • Staff punctuality and attendance.
  • Zero stock-outs of operational consumables and PPE.
  • Accurate POS and menu updates.
  • Electricity balance maintained above GHS 500.
  • Continuous availability of LPG with minimum reserve maintained.
  • WiFi uptime and timely renewal of subscriptions.
  • Prompt resolution of maintenance issues.
  • Cash reconciliation accuracy.
  • Cleanliness and presentation standards.
  • Team productivity and morale.

Skills & Qualifications
  • 1-2 years’ experience working in hospitality, restaurants or cafés.
  • Strong leadership and team coordination skills.
  • Excellent customer service and communication skills.
  • Strong organisational and multitasking abilities.
  • Experience using Point of Sale (POS) systems is an advantage.
  • Basic inventory management and procurement experience.
  • Cash handling and reconciliation experience.
  • Ability to remain calm under pressure.
  • High attention to detail and strong problem-solving skills.
