Job Description/Requirements
RESPONSIBILITIES:
- Report to General Manager
- Support the Academic team and the Sales & Marketing team
- Write reports in English and French
- Assist students and clients with copying, scanning, printing and laminating documents
- Files administrative paperwork
- Record and organize financial data; assist accountant with financial data
- Responsible for ordering and stocking supplies, organizing book inventory
- Receives and resolve or report complaints to manager/ (staff, students)
- Helps students and clients understand policies and procedures
- Receives and makes calls to students
- Responds to students’ and clients’ inquiries
- Assist with students’ application and registration
- Assists with school events and activities and actively participate to these when necessary (daytime or evening events)
- Assists teachers in prepping their classroom
- Maintains presence for the academic office
- Develops and update students’ and teachers’ rosters
- Notifies director and coordinator about teachers’ absence or delay
- Assists in teacher’s replacement
- Greets visitors warmly and make sure they are comfortable
- Schedules meetings and follow up appointments for managing director
- Coordinates mail flow in and out of office.
- Handles correspondence (sends email and faxes)
- Responsible for the cleanliness of the entire office
- Oversee the cleaner and ordering inventory of hygiene products
QUALIFICATIONS:
Administrative Assistant needs to meet the following criteria:
- 4 year college degree
- Proven administrative work experience, at least 2 years
- Be bilingual English and French
- Bookkeeping skills or Human Resources skills
- Proven experience working in English and French
- Must be able to answer students’ and clients’ call in French and English
- Intermediate to Advanced computer skills (Windows, Outlook, MS Word, Excel, PowerPoint)
- Type close to 60 w/minute
