Job Summary

The IT & Systems Support Officer’s main role is to ensure the secure and effective operation of all computer systems, related applications, hardware and software that is used within the organization. He/she will also train users, provide support and check that the system is used appropriately.

Job Description/Requirements

POS Hardware & Software:

  • Ensure hardware at back office and front of house are in working condition, clean and complete – i.e. no missing cables, broken keyboards or missing parts
  • Ensure POS software licenses are up to date, and all operating system software updates are done for POS and back office devices
  • Automatic back up, and at regular intervals to avoid loss of data
  • Where there are kitchen printers or bump screens, check that they are clean and in working condition
  • Users to operate at correct user rights levels
  • Co-ordinate price changes seamlessly

Network, Servers, Computers & Printers: 

  • Maintenance schedule of all computers and digital devices across the group
  • Network and server maintenance – updates of software and apps. Minimum downtime
  • Maintain databases
  • Develop and implement a data recovery and back-up plan
  • Antivirus and IT service contracts to be on a schedule so expiry/renewal dates are monitored
  • Printers serviced, cleaned and all consumables available

Security Systems: 

  • Check cameras are in working condition and eliminate all blind spots
  • Ensure users are given access to hardware and software based on security levels agreed
  • Change passwords periodically – no sharing of passwords
  • Manage secure network for remote access
  • Ensure back up of all data daily

Training:

  • Ensure that all managers, cashiers, and front of house staff are properly trained on care and use of the POS system – back end and FoH
  • Train new managers and staff on the stock modules in GAAP

Systems Support &Troubleshooting:

  • Support multiple software and hardware systems throughout the organization with basic troubleshooting
  • Where the issues are beyond our scope, escalate the issues to GAAP or Management if not POS related
  • Follow up after troubleshooting to ensure systems/networks are stable

IT & System Audit:

  • Check that the system is properly used for stock control by ensuring that GRVs are processed, LPOs raised, inter-warehouses processed and GRN raised if any
  • Use the system in identifying theft and closing loopholes
  • Review system generated reports to analyze the user activity and user breaches
  • Check the POS (day end and month-end), Payroll and Finance periods are closed on time

Reports:

  • Prepare, document, and communicate IT audit findings to management as per agreed schedules

  • Strong ethical standards and high level of integrity
  • Solid technical skills
  • Ability to use own initiative & work effectively as an individual and, as part of a team
  • Project Management skills when planning for new shops
  • Strong communication skills both written and verbal

Qualification /Requirements:

  • Minimum of a BSC in Information Technology or related field
  • At least 4 years in a similar role
