Junior Financial Administrator
Job summary
The Wilder Institute Ghana is seeking a full-time permanent Junior Financial Administrator who will provide financial administrative support for Wilder Institute Ghana’s operations. This role supports day-to-day financial operations including transaction processing, petty cash management, banking, procurement documentation, and record keeping. The Junior Financial Administrator works closely with the Senior Accountant, Conservation Operations Manager, program teams, and external partners to ensure that financial processes operate efficiently and transparently in support of conservation and community development initiatives. The position plays a key role in record-keeping, maintaining strong internal controls, supporting audits and grant reporting, and ensuring financial accountability across Wilder Institute Ghana and partner programs.

Key Responsibilities
Financial Administration and Transaction Processing
- Review and record daily transactions for processing within accounting software in accordance with organizational policies, grant reporting and approved budgets.
- Ensure timely and accurate entry of all financial transactions into the accounting system including appropriate project coding.
- Ensure appropriate supporting documentation is received for all financial transactions in alignment with organizational policies and grant reporting including timesheets, travel expense reports, receipts/invoices, and proof of payment.
- Maintain proper and reliable books of accounts and financial ledgers.
- Maintain a secure and well-organized physical & electronic filing system for all financial documents to support audits and verification.
Petty Cash, Banking, and Treasury Support
- Support the administration of petty cash in accordance with organizational financial policies, including review of petty cash payments, replenishment requests, and cash counts.
- Support the preparation of bank and account reconciliations and assist in resolving outstanding items.
- Maintain cash books, assist with daily cash balance monitoring, and support foreign currency tracking.
- Support the processing of international wires, staff advances, travel claims, and per diem payments in accordance with policy.
Procurement and Asset Administration
- Support the processing of procurement quotes and documentation.
- Support the maintenance of the fixed asset register and associated documentation.
Reporting and Compliance Support
- Support the preparation of financial reports for internal and external review.
- Assist with grant and project financial reporting and record-keeping.
- Support audit processes by preparing documentation and responding to audit queries.
- Ensure compliance with internal financial controls, grant requirements, and statutory regulations.
- Prepare and file withholding tax and VAT in compliance with applicable regulations.
Coordination and Administrative Support
- Maintain effective working relationships with program staff, partners, banks, auditors, and service providers.
- Provide financial administrative support to program teams for training activities, workshops, field activities, and partner payments.
- Support interns, volunteers, and junior staff within the finance function as required.
- Support field programs and community-based activities as required.
Other Duties
- Perform any other duties as assigned by the Senior Accountant or Conservation Operations Manager in support of Wilder Institute Ghana objectives.
Key Requirements
- Eligible to work in Ghana
- A bachelor’s degree in accounting, Finance, Business Administration, or related field is required, or equivalent combinations of education and experience.
- 2 to 4 years of experience in finance, accounting, bookkeeping, or financial administration
- Experience with transaction processing and financial record-keeping
- Completed or working towards a professional qualification (ICAG, ACCA, CIMA), is considered an asset.
- Basic knowledge of accounting principles, budgeting, and internal controls
- Experience using accounting software preferred, with NXT experience as an asset
- Proficiency in Microsoft Excel and other office applications
- Experience completing monthly VAT and Withholding tax returns is an asset
- Strong attention to detail, accuracy, and organizational skills
- Ability to handle confidential financial information with integrity
- Strong interpersonal and communication skills, with the ability to collaborate with internal and external stakeholders
- Ability to work collaboratively in a team environment across time zones and support multiple priorities
Working Conditions:
- Extensive office work involving long periods of sitting at computer work stations.
- Occasional time spent at project locations may include field work conditions which may involve hazards such as dangerous animals, insects, sunburn, working with field equipment such as trucks or ATVs, heavy lifting of field equipment, exposure to wildlife diseases, and working in remote small communities.
- Occasional travel to field locations or project communities as necessary.
- Interaction with banks, auditors, and partner organizations.
- Regular touchpoints with the Wilder Institute Canadian office across time zones.
