Job summary

<p>The Procurement and Operations Associate will be responsible for sourcing, purchasing, and managing supplies, materials, and services required for Villa Grace events and daily operations. The role also involves supporting the planning, coordination, and execution of events, ensuring smooth operations before, during, and after events. The ideal candidate should be organized, detail-oriented, good with vendors, and able to manage multiple tasks, especially during event periods.</p>

Job descriptions & requirements

Key Responsibilities
Procurement & Vendor Management
  • Source reliable vendors and suppliers for event materials, food items, decor, rentals, maintenance items, and operational supplies
  • Request quotations from multiple vendors and prepare price comparisons
  • Ensure cost effective purchasing
  • Create and issue purchase orders
  • Ensure timely delivery of goods and services
  • Maintain an updated vendor and supplier database
  • Ensure quality of items purchased meets company standards
  • Track procurement expenses and maintain procurement records
  • Prepare weekly/monthly procurement reports
Inventory & Stock Management
  • Monitor stock levels for operational and event supplies
  • Keep inventory records for items such as cleaning supplies, toiletries, kitchen supplies, decor items, event equipment, etc.
  • Ensure proper storage and organization of items
  • Conduct periodic stock checks
  • Report damaged, missing, or low-stock items
  • Plan restocking in advance to avoid shortages
Event Operations & Support
  • Support planning and preparation for events hosted by Villa Grace
  • Coordinate procurement of all items required for events
  • Assist with event setup and ensure all items are delivered and arranged on time
  • Assist with event breakdown and ensure rented items are returned
  • Prepare event expense summaries after each event
  • Be present during events to support operational needs

Qualifications & Skills
  • Bachelor’s degree in Procurement, Logistics, Business Administration, Hospitality Management, or related field
  • 2–4 years' experience in procurement, operations, hospitality, or event management
  • Strong negotiation and vendor management skills
  • Good organizational and planning skills
  • Ability to multitask and work under pressure
  • Good communication and interpersonal skills
  • Proficiency in Microsoft Excel, Word, and email communication
  • Must be proactive, reliable, and detail-oriented
