Shipping Administration Officer
Job summary
The Shipping Administration Officer is responsible for coordinating and managing shipping documentation, tracking shipments, and ensuring timely and accurate delivery of goods. The role involves liaising with internal teams, freight forwarders, and customs authorities to facilitate smooth import and export processes. The officer ensures compliance with shipping regulations, maintains accurate records, and supports overall logistics operations to enhance efficiency and customer satisfaction

Responsibilities
Import (Incoming)
- Check arriving vessels, be very conversant with their locations, vis-à-vis the files being worked on
- Processing of all necessary documents
- Standards board
- Import Declaration Form (IDF)
- Environmental Protection Agency (EPA) Form
- Animal Production Permit (APP)
- Pass of customers declarations (Bill of Entry (BOE)
- Ensure that documents have been received by importers
- Keep in constant communication with importers
- Print and prepare:
- Electronic module on Ministries, Departments and Agencies (eMDA), in ICUMS.
- Work on exemptions (IDF, Ghana Standards etc.)
- Type letters of exemptions and authorization
- Work on quotations for importers
- Shipping line releases (emails & letters)
- Communicate to operations to clear goods
- Request for shipping line invoices from the vessels when they arrive
Exporting (Outgoing)
- Typing of all export letters necessary
- Booking slot(s) on the vessel for carriage of goods
- Follow up with all necessary emails
- Answering queries in the Integrated Customs Management System (ICUMS)
- Images
- Dimensions etc.
- Passing of customs declaration
- Track the sailing of vessels (location etc.)
- Provide client with proper feedback regarding arrival of goods at port of destination
- Ensure proper inhouse documentation
- Study the invoice/packing list/bill of lading
- Make all necessary corrections on invoice and bill of lading prior to submission
- Ensure that amount declared to client tallies with the final amount accessed by Ghana Customs for proper audit
- Typing of other document related letters
- Answering customers questions
- License renewal letter
- Any other duties as assigned by management
Required Skills
Education / Experience
- Bachelor’s Degree logistics, procurement, shipping management, or business administration
- 3-4 years’ work and industry experience
- Experience using the ICUMS
