Job Summary

The Senior Administrative Officer plays a pivotal role in overseeing and managing administrative functions within the organization. This position involves providing leadership and guidance to administrative staff, coordinating office activities, and implementing policies and procedures to ensure efficient operations. The Senior Administrative Officer also collaborates with senior management to support strategic initiatives and organizational goals.

Job Description/Requirements

Responsibilities:

Leadership and Supervision

  • Provide leadership and direction to the administrative team, including administrative assistants and clerks.
  • Supervise and mentor staff, providing training, guidance, and performance feedback to support their professional development.
  • Delegate tasks and responsibilities effectively, ensuring that workload is distributed evenly and deadlines are met.


Administrative Management:

  • Oversee day-to-day administrative operations.
  • Develop and implement administrative policies, procedures, and best practices to optimize efficiency and effectiveness.
  • Ensure compliance with organizational policies, regulations, and legal requirements related to administrative functions.


Communication and Coordination:

  • Serve as a central point of contact for internal and external stakeholders, coordinating communication and information flow.
  • Liaise with other departments and senior management to facilitate collaboration and address administrative needs and priorities.


Record Keeping and Documentation:

  • Oversee the maintenance of accurate and up-to-date records and files, both electronic and physical, ensuring confidentiality and security.
  • Develop and maintain databases and systems.
  • Prepare reports, presentations, and correspondence as needed, ensuring accuracy and professionalism.
  • Policy Development and Compliance:
  • Collaborate with senior management to develop and implement administrative policies and procedures that align with organizational goals.
  • Monitor compliance with relevant laws, regulations, and internal policies, identifying areas for improvement and implementing corrective measures as needed.
  • Conduct periodic audits and reviews to ensure adherence to established policies and identify opportunities for enhancement.


Strategic Support:

  • Provide strategic support to senior management, contributing to decision- making processes and organizational planning.
  • Participate in strategic initiatives and special projects, offering insights and recommendations based on administrative expertise.
  • Proactively identify opportunities for process improvement and operational efficiency, driving continuous improvement efforts.


Qualifications:

  • Bachelor's degree in business administration, management, or a related field. Additional certifications or training in administration or leadership are desirable.
  • Significant experience in administrative roles, with progressive responsibility and demonstrated leadership capabilities. Experience in a supervisory or managerial capacity is preferred.
  • 90% of the job is working on Google drive spreadsheets. Must be very experienced working with spreadsheets.
  • Ability to communicate with management via Google Meet, Whatsapp and Whatsapp Groups.
  • Strong leadership and management skills, with the ability to inspire, motivate, and develop a team of administrative professionals. Experience in staff supervision, coaching, and performance management.
  • Excellent verbal and written communication skills, with the ability to interact effectively with individuals at all levels of the organization. Proficiency in preparing reports, presentations, and correspondence.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
  • Strong analytical and problem-solving skills, with the ability to identify issues, evaluate options, and implement effective solutions.
  • High level of accuracy and attention to detail in record keeping, documentation, and administrative tasks. Ability to maintain confidentiality and handle sensitive information appropriately.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Experience with database management systems and project management tools is advantageous.
