Job Summary

We are a looking for a Procurement and Inventory Assistant to assist the Procurement and Inventory Coordinator in providing and handling all procurement and inventory tasks in order to ensure effective and efficient operations of the company.

  • Minimum Qualification: HND
  • Experience Level: Entry level
  • Experience Length: 2 years

Job Description/Requirements

Functional Duties and Responsibilities

Inventory

  • Receiving of imported good and goods bought locally into inventory
  • Raising waybills for goods sent out of inventory
  • Providing accurate, current inventory data for purchasing decisions
  • Taking of periodic physical inventories
  • Verifying clerical computations against physical count of stock and adjusts errors in computation
  • Overseeing work performed by support personnel
  • Documenting orders and requesting quote immediately they are received
  • Issuing items to workshop for projects upon receipt of Item Requisition Note
  • Preparing reports of inventory balance and shortages, as required
  • Performing any other duties as assigned


Procurement

  • Interfacing with stake holders to plan and prioritize purchasing activities.
  • Reviewing planned orders, creating requisitions for purchased items, and managing approval process.
  • Transmitting and prioritising approved purchase orders and supporting documents to supplier.
  • Tracking order acknowledgement, preparing and communicating shortage and backlog reports, and providing visibility of potential interruptions to internal customers.
  • Tracking orders and confirming system lead times, delivery dates, and costs.
  • Carrying out value for money audits at least once a quarter on prices from suppliers to ensure the Company is getting the best prices available.
  • Reviewing, updating, and maintaining purchase orders until they are closed.
  • Ensuring orders adhere to supplier agreements and contracts; reporting non-conformance.
  • Working with other stakeholders in resolving reception and invoice discrepancies.
  • Identifying opportunities and implementing actions to achieve efficiencies.
  • Performing any other duties as assigned


Educational Requirements and Experience

  • HND, BSc, BA in Supply Chain or related or Electrical Engineering
  • Experience in the same or similar role is an advantage


Knowledge, Skills, and Abilities

  • Knowledge of procurement processes, policies and procedures
  • Strong emphasis on accuracy and detail
  • Good time management and organizational skills
  • Proactive and able to meet deadlines
  • Basic mathematical knowledge
  • Communication Skills
  • Proficient in Microsoft Office programs, such as Excel
  • Critical Thinking Skills
  • IT skills
