We are currently seeking to hire a Local Purchasing Supervisor to join Sigma Cylinders in Accra, Ghana.
The successful candidate will be responsible for the following duties, including but not limited to:
- Execute approved procurement requests and convert PR to PO in BC in line with DOA to ensure compliant purchasing.
- Prioritize and follow-up on urgent operational needs (production, maintenance, administration) to protect continuity.
- Maintain an updated tracker of open PRs/POs, delivery commitments, and risks; escalate delays early.
- Source local suppliers in line with approved supplier lists and market availability and obtain compliant quotations.
- Validate quotations for completeness (specifications, lead time, payment terms, warranty/service where applicable) to enable like-for-like comparison.
- Support negotiations within delegated authority and prepare award recommendations for Procurement Manager review.
- Confirm PO acknowledgments, delivery dates, and key conditions with suppliers to reduce slippage and disputes.
- Expedite suppliers on critical items and services, and coordinate delivery schedules with requestors and Warehouse.
- Document variations/changes and secure approvals before execution to protect governance and audit readiness.
- Maintain supplier records, contracts, pricing conditions, and supporting documents in BC to ensure traceability.
- Ensure procurement records are complete (quotation references, approvals, contract/terms linkage) to strengthen audit readiness.
- Monitor validity of supplier quotations/agreements and flag expiries or pricing changes to the Procurement Manager.
- Coordinate with Warehouse on GRN (Goods Receipt Note) processing and correct PO/receipt matching.
- Coordinate with Finance on invoice matching (PO–GRN–Invoice) and resolve mismatches promptly.
- Ensure timely closure of purchasing transactions to support clean month-end and accurate reporting.
Education
Bachelor’s degree in Supply Chain Management, Business Administration, Engineering, or related field.
Experience
Minimum of 5 years of hands-on experience in purchasing/procurement operations within Ghana, preferably in industrial, trading, or multi-site environments.
