Job Description/Requirements
Key Responsibilities:
- Calendar Management: Maintain and organize executive(s)' calendars, including scheduling meetings, appointments, and conference calls. Anticipate scheduling conflicts and proactively resolve them.
- Email and Correspondence: Manage and prioritize incoming emails, letters, and other correspondence. Draft responses on behalf of the executive(s) and ensure timely follow-up on action items.
- Meeting Coordination: Arrange logistics for internal and external meetings, including booking conference rooms, preparing agendas, distributing materials, and coordinating catering if necessary. Attend meetings to take minutes and track action items.
- Travel Arrangements: Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa processing. Prepare detailed itineraries and ensure travel plans align with business objectives and budget constraints.
- Communication Liaison: Serve as the primary point of contact between the executive(s) and internal/external stakeholders. Screen and direct phone calls, inquiries, and requests appropriately, exercising discretion and confidentiality.
- Document Management: Manage and maintain electronic and physical files, documents, and records. Organize and archive documents according to company policies and regulatory requirements.
- Presentation and Report Preparation: Assist in preparing presentations, reports, and other documents for internal meetings, board meetings, or client presentations. Compile data, perform research, and ensure accuracy and consistency of information.
- Expense Management: Process expense reports, reconcile credit card statements, and track expenses against budgets. Maintain records of expenditures and receipts, and ensure compliance with company policies and procedures.
Minimum Qualifications:
- Postgraduate (Masters or equivalent) in Public health or social sciences (MPH/MSc)
- Undergraduate (Bachelor’s) in health, medical or relevant social sciences
- Minimum One year experience in middle-to-high level administrative or managerial role.
