Job summary

The Accounts / Stocks Officer is responsible for managing financial transactions related to inventory and overseeing stock control processes. This role ensures accurate record-keeping, timely reconciliation of stock and financial data, and compliance with company policies and accounting standards. The position plays a key role in maintaining inventory accuracy, preventing losses, and supporting financial reporting.

Job descriptions & requirements

Key Responsibilities

Inventory / Stock Management

  • Maintain accurate records of stock receipts, issues, transfers, and returns.
  • Monitor stock levels and ensure adequate supply to meet operational needs.
  • Conduct regular physical stock counts and reconcile with system records.
  • Investigate and resolve stock discrepancies or variances.
  • Coordinate with procurement and warehouse teams on stock movements.
  • Ensure proper documentation for all inventory transactions.


Accounting & Financial Duties

  • Record inventory-related financial transactions in the accounting system.
  • Prepare and process invoices, purchase orders, and delivery notes.
  • Reconcile supplier statements and resolve discrepancies.
  • Assist in preparing monthly financial reports related to stock and expenses.
  • Monitor inventory costs and assist in cost control measures.
  • Support internal and external audits by providing required documentation.


Reporting & Documentation

  • Prepare periodic stock and inventory reports for management.
  • Maintain organized records of financial and inventory documents.
  • Analyze stock usage trends and provide recommendations.
  • Ensure compliance with company policies and accounting standards.


Compliance & Internal Controls

  • Ensure adherence to financial policies and stock control procedures.
  • Implement and maintain internal controls to minimize losses or fraud.
  • Monitor expiry dates (if applicable) and manage obsolete stock.
  • Support compliance with regulatory and tax requirements.


Coordination & Communication

  • Liaise with suppliers, warehouse staff, and finance teams.
  • Communicate stock shortages or overstock situations to management.
  • Assist in budgeting and forecasting related to inventory.


Qualifications & Requirements

  • Bachelor’s degree or diploma in Accounting, Finance, Business Administration, or related field.
  • Proven experience in accounting, inventory management, or a similar role.
  • Knowledge of accounting principles and stock control procedures.
  • Proficiency in accounting software and MS Office (especially Excel).
  • Strong numerical and analytical skills.
