CONTRACTS ASSOCIATE


Subsidiary: Genser Energy Ghana Limited (GEGL)

Position: Contracts Associate

Division / Department: Legal

Location: Corporate Office, Takoradi, Western Region, Ghana (West Africa)

Designation Level: Sectional Head

Reports Directly to: Senior Contracts Associate


OBJECTIVE: The Contracts Associate will be responsible for supporting the drafting, review and administration of contracts related to the procurement of goods and services. This includes assisting with the negotiation of contract terms, ensuring compliance with legal and regulatory requirements, and maintaining accurate records of all contract-related activities.


KEY RESPONSIBILITIES:


CONTRACT ADMINISTRATION

  • Contract Management: Support the lifecycle of contracts related to the procurement of goods and services, including drafting, reviewing and preparing terms and conditions for the review of the Senior Contracts Associate.
  • Assist in managing relationships with contractors, suppliers and vendors to ensure compliance with contract terms and performance expectations.
  • Negotiation: Participate in negotiations with vendors, suppliers and other parties to secure favourable terms and mitigate risks, under the guidance of the Senior Contracts Associate.
  • Compliance: Assist in ensuring that all contracts comply with legal and regulatory requirements, company policies and industry standards, and escalate any compliance issues that arise.
  • Documentation and Record-Keeping: Maintain comprehensive and organized records of all contract-related activities, including executed agreements, amendments and correspondence.
  • Ensure that all contract documentation is up-to-date, accurate and easily accessible.
  • Operate and update the filing systems and databases that support efficient retrieval and tracking of contract information.
  • Risk Management: Support the identification and assessment of potential risks associated with contract terms and conditions, and assist in implementing agreed mitigation measures.
  • Collaboration: Liaise with internal stakeholders, including procurement, legal, finance and operations teams, to align contract terms with business objectives and operational needs.
  • Continuous Improvement: Contribute to the improvement of contract management processes and practices, and recommend enhancements that streamline procedures and improve efficiency.


ORGANIZATIONAL DEVELOPMENT

  • Execute assigned projects and tasks within agreed deadlines and budget.
  • Participate in performance appraisals and personal development planning with the reporting manager.
  • Adhere to the departmental leave schedule and provide cover for colleagues as required.


QUALIFICATIONS:

  • Bachelor's degree in Law or any related field is mandatory.
  • Master's degree in Business is a plus.
  • Multicultural experience is a plus.
  • Proficiency in French is a plus.


KNOWLEDGE & EXPERIENCE:

  • A minimum of 3 years of experience in contract management or a related role, with a focus on procurement contracts, ideally in the Oil & Gas sector.
  • Fundamental knowledge about oil and gas terminals and shipyard operations.
  • Strong attention to detail and accuracy in reviewing and drafting contracts.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Word).
  • Proficient in supply chain management software (e.g., Sage X3, SAP, Oracle).

  • Organizational Skills: Strong planning, organizational and time management abilities, with experience coordinating activities across diverse disciplines.
