LCF is a dedicated healthcare foundation working to reduce the burden of liver cancer in Ghana through prevention, early detection, patient support, and public advocacy.
We are building our team, and we are looking for an Administrative Manager who is ready to be the organizational backbone of a foundation doing important work.
THE ROLE
The Administrative Manager is responsible for the full spectrum of LCF's internal operations, from day-to-day office management and board governance through regulatory compliance, donor records, HR administration, and communications support. You will report directly to the Head of Operations & Resource Mobilization and work closely with LCF's leadership team and board.
WHAT YOU WILL DO
Office & Operational Management
- Manage LCF's day-to-day administrative operations, keeping systems, files, and processes organized, current, and running smoothly
- Maintain and improve LCF's document management system and internal procedures
- Oversee procurement of office supplies and equipment, managing vendor relationships
- Coordinate logistics for events, campaigns, and external meetings
Governance Support
- Coordinate all meeting logistics and compile meeting packs at least five days ahead of each meeting
- Record accurate minutes and maintain a live action tracker for all board decisions
- Maintain the official register of all governance documentation
- Support preparation of annual reviews, governance reports, and senior leadership decision papers
Regulatory Compliance & Legal Administration
- Maintain LCF's compliance calendar, ensuring all regulatory filings and renewals are submitted on time, every time
- Coordinate LCF's NGO annual return to the Department of Social Welfare and Registrar General
- Maintain LCF's GRA registration, tax-exemption status, and employer obligations
Donor Records & Partnership Administration
- Maintain LCF’s donor and partner database: accurate, current, and properly categorized
- Prepare donor and partner impact reports and manage grant contract documentation and deadlines
- Support the Head of Operations and Resource Mobilization in compiling grant and partner reports and funder documentation
HR Administration
- Manage HR administration for all staff: personnel files, contracts, leave records, and performance review schedules
- Coordinate recruitment administration
- Prepare employment contracts, offer letters, and onboarding documentation
- Maintain LCF's HR policy manual and coordinate tax obligations
Communications & Reporting Support
- Support the preparation of LCF's monthly, quarterly, and annual reports
- Manage LCF's internal communications, staff notices, shared calendars, and meeting schedules
- Maintain LCF's library of branded document templates, letterheads, report formats, and presentations
- Assist in preparing materials for external meetings, funder visits, and stakeholder engagements
WHO WE ARE LOOKING FOR
Essential Requirements
- Minimum 3–5 years of demonstrated experience in a senior administrative or administrative management role
- At least 2 years of experience working within an NGO, foundation, or civil society organization (preferred)
- Proven experience managing board governance, preparing board packs, taking minutes, maintaining governance records
- Working knowledge of Ghana's NGO regulatory requirements: DSW, Registrar General, and GRA obligations
- Experience managing donor records, grant documentation, or funding agreements
- Experience managing HR administration, contracts, personnel files, and staff onboarding
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with project management tools (Trello, Asana, Notion, or similar)
- Strong proficiency in Microsoft C suite or Google Workspace
- Excellent written and verbal communication skills in English
- A bachelor's degree in business administration, Public Administration, Management, or a related field, a bonus is a master's in any of these fields or related
Desirable (Not Essential)
- Experience in a healthcare, public health, or patient-facing organization
- Professional certification in administration, project management, or NGO management
- Familiarity with accounting software (Wave, QuickBooks, or similar)
- Postgraduate qualification in Management or Development Studies
