Job Summary

We are looking for a pleasant secretary to undertake all clerical duties. The ideal candidate will have a friendly and easy going personality while also being very insightful and disciplined. You should be able to deal with complaints, give accurate information and ensure the daily management of the Office. A customer-oriented approach is essential.

  • Minimum Qualification: Degree
  • Experience Level: Mid level
  • Experience Length: 3 years

Job Description/Requirements

Responsibilities

  • Answer questions and address complaints
  • Answer all incoming calls and redirect them or keep messages
  • Receive letters, packages etc. and distribute them
  • Prepare outgoing mail by drafting correspondence, securing parcels etc.
  • Check, sort and forward emails
  • Ability to use a range of office software, including email, spreadsheets and databases
  • Manage office-filing systems;
  • Develop and implement new administrative systems, such as record management
  • Maintaining the condition of the office and arranging for necessary repairs
  • Take up other duties as assigned


Requirements and Essential Skills

  • Proven experience as front desk representative, agent, office management or relevant position
  • Familiarity with office machines (e.g. fax, printer, photocopier etc.)
  • Knowledge of office management and basic bookkeeping
  • Proficient in English (oral and written)
  • Excellent knowledge of MS Office Suits (especially Excel and Word)
  • Strong communication and people skills
  • Good organizational and multi-tasking abilities
  • Problem-solving skills
  • Customer service orientation


Qualification and Experience

  • Relevant University Degree; additional qualifications will be a plus
  • Minimum of 3 years working experience.
