Job Description/Requirements

Responsibilities:

  • Booking and Reservations: Assist clients in making travel arrangements, including flights, accommodations, transportation, and tour packages. 
  • Travel Documentation: Assist clients in obtaining necessary travel documents, such as passports, visas, and travel insurance. Provide guidance and information on travel requirements and regulations.
  • Customer Service: Provide excellent customer service by promptly responding to inquiries, resolving issues, and addressing concerns related to travel arrangements. 
  • Financial Management: Prepare and process invoices, handle payments, and maintain accurate financial records for travel bookings. 
  • Communication and Correspondence: Communicate effectively with clients, travel agencies, hotels, airlines, and other service providers via phone, email, or in-person. Maintain professional and timely correspondence to confirm bookings, address queries, and handle any changes or cancellations.
  • Administrative Support: Provide general administrative support to the travel agency or tour operator, which may include managing office supplies, handling incoming calls, maintaining filing systems, and assisting with other administrative tasks as needed.


Requirements:

  • Knowledge of Travel and Tourism Industry: A travel and tour secretary should have a good understanding of the travel and tourism industry, including popular destinations, travel regulations, visa requirements, and travel logistics.
  • Excellent Communication Skills: Strong verbal and written communication skills are essential for a travel and tour secretary. They will be responsible for communicating with clients, travel agencies, hotels and airlines, so effective communication is crucial.
  • Organizational Skills: Since travel and tour secretaries handle multiple bookings, reservations, and itineraries, they need to have excellent organizational skills to keep track of all the details and ensure a smooth travel experience for clients. Customer Service Skills: Providing exceptional customer service is a key requirement for a travel and tour secretary. They should be friendly, responsive, and attentive to the needs of clients, ensuring their travel arrangements meet their expectations.
  • Attention to Detail: Paying close attention to detail is important in the travel and tourism industry. A travel and tour secretary should be meticulous in handling bookings, verifying travel documents, and ensuring accuracy in itineraries and travel arrangements.
  • Computer Proficiency: Travel and tour secretaries often use software applications and online booking systems to manage travel arrangements. Basic computer skills, including proficiency in word processing, spreadsheets, and email, are necessary for the role.
  • Geographical Knowledge: Having a good understanding of geographical locations and popular travel destinations is beneficial for a travel and tour secretary. They should be able to provide information and recommendations to clients regarding travel routes, attractions, and accommodations.
  • Multilingual Skills: In the travel and tourism industry, being multilingual can be advantageous. Knowing additional languages can help in communicating with clients from different countries and handling travel arrangements involving international destinations.
  • Professionalism: As with any secretary role, professionalism is important for a travel and tour secretary. They should have a professional demeanor, dress appropriately, and maintain a positive and friendly attitude when interacting with clients and colleagues.
