Job Description

Position: Operations Manager, reporting to Managing Director

Incentive: Monthly incentive



  • Responsible for approving all purchases by shop managers
  • Responsible for verifying and checking of all purchases by the shop managers
  • Responsible for the generating of key reports, including monthly P&L statements and shop statistics, analyzing of the data and providing this to shops and management
  • Responsible for all reporting to Directors monthly including cashbooks, salaries, provisions and accruals, prepaid expenses, petty cash
  • Responsible for all income tax, withholding tax, provisional tax and PAYE tax submission being on time and accurate
  • Must ensure tax records are properly filed for safe keeping
  • Responsible for the safekeeping of all company assets including all invoices and expense authorizations, checkbooks, and petty cash vouchers
  • Responsible for keeping accurate accounting records which appropriately reflect the company’s operations in line with accounting principles


  • Responsible for ensuring adherence of all internal policies and procedures
  • Responsible for submitting monthly compliance (VIVO SCORECARD) to management
  • Responsible for the daily review of activities at each shop; by playing back video footage; to check for unacceptable activities like stealing, poor customer service, etc.
  • Responsible for monthly audits and stock taking
  • Responsible for maintaining the head office petty cash float
  • Responsible for all relationships at the company’s bank, suppliers, and partners
  • Responsible for the downloading of bank statements on a daily basis to monitor for fraud and to ensure sufficient cash flows to run the business
  • Responsible for reconciling the bank accounts every week and providing the necessary information to the Directors
  • Responsible for all other finance related matters which may arise relating to any of the above, and those arising due to the needs of our growing business
  • Responsible for any additional tasks instructed by Management

Educational Requirements:

  • Higher National Diploma or Degree
  • Additional tertiary education would be advantageous
  • Extremely proficient in MS office and e-mail
