Job Summary

The Administrative Assistant provides administrative support to ensure efficient operation of the office. This role supports managers and employees through a variety of tasks related to organization and communication. The ideal candidate will be proactive, detail-oriented, and capable of multitasking in a fast- paced environment while maintaining a high level of professionalism.

Job Description/Requirements

Specific Duties & Responsibilities

  • Serve as first point of contact for the office, answer and direct phone calls, manage emails and respond to inquiries in a timely manner.
  • Review and maintain filing systems, both electronic and physical, ensuring all documentation is current and accessible.
  • Assist in the coordination of administrative functions, including budget, accounting, personnel, meetings, and clerical duties
  • Assist with the preparation of documents, presentations, reports and other technical materials.
  • Responsible for preparation of confidential documents and reports
  • Manage office supplies, track inventory and place orders for IT-specific equipment when necessary
  • Handle vendor correspondence and coordinate with external service providers for office related technology support and repairs.
  • Assist in preparing agendas, taking minutes during team meetings and following up on action items.
  • Support the team in managing projects and meeting deadlines.
  • Prepare and distribute correspondence, memos, and other communications.
  • Provide general administrative support such as photocopying, scanning, filing and organizing company events


Requirements:

  • Proven experience as an Administrative Assistant, Office Assistant, or related role, preferably in an IT or tech environment
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills, with the ability to prioritize tasks.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively as part of a team.
  • Customer service experience with external clients.


Qualification:

  • A degree or equivalent in Business Administration / HND Accounting or Purchase and Supply
  • Additional qualifications as an administrative assistant or secretary are a plus.
