Job Title: Project Office Manager (EU/EDF Project)


Location: Accra, Greater Accra


Job Description

Administrative:

  •  Provide overall logistical, administrative and secretarial support to project key and non-key experts as required;
  •  Understand EU procurement requirements and compile relevant documentation;
  •  Understand EU contracting processes for goods and services provided to the Project;
  •  Provide oversight and coordination support to the Project Drivers
  •  Managing office assets, stores and supplies;
  •  Manage filing and archiving of project documentation, correspondence as well as maintaining a file index of all project outputs per file
  •  Assist with confirmation of expert availability and mobilization tasks including (Flights, Accommodation, Logistics)
  •  Provide inputs as assigned into standard templates Secretarial:
  •  Organise and coordinate Project meetings (sending invitations, taking of minutes at all meetings, etc.);
  •  Provide secretarial support to training workshops, seminars, meetings and related activities, including: booking premises; confirming logistic arrangements; confirming
  • attendees; arranging accommodation; arranging transport; arranging equipment, arranging catering/refreshments; etc.;
  •  Support preparations for Project Close Out Event Financial: Procurement procedures including securing multiple quotes and supporting public tender procedures where required;
  •  Book-keeping related to the Project’s Incidental, and other Budgets, and associated financial reporting;
  •  Reporting to the Project Finance Manager as required;
  •  Maintenance of Financial files and supporting documentation;

  


Qualification and Requirements

  • A University degree or equivalent educational qualification in public administration;
  • Minimum five years hands-on experience and proven track record in providing administrative, secretarial and financial support to a similar project/business;
  • Experience in a previous EU/EDF supported projects is preferred
  • Experience working with a government Ministry will be of added value;
  • Must be a Ghanaian citizen
  • Male or Female business administration; bookkeeping and/or business management will be required.
  • Experience working on a donor-funded project; EU preferred
  • Familiarity with EU rules and regulations;
  • Strong understanding of Ghanaian tax laws, standard practices, and accounting procedures
  • Review relationships with suppliers of equipment, supplies, and services to the project and project procurement practices;
  • Strong problem-solving skills;
  • Strong written and verbal English skills;
  • Strong attention to detail;
  • Demonstrated experience in office software (Accounting software, Word, Excel, Power Point,
