Position Summary

We are looking for a responsible Personal Assistant to provide personalized administrative support in a well- organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the director’s working and personal life. Ultimately, an exceptional Personal Assistant will be extremely fast at solving problems to ensure that the director’s time is maximized for company productivity.

Essential Duties and Responsibilities

  • Screening telephone calls, taking messages and responding to queries appropriately

  • Manage personal and business calendars and schedule meetings and appointments for the director

  • Performing personal errands as required

  • Forwarding or replying to emails and correspondence addressed to the director

  • Organising and coordinating meetings, conference calls, and interviews including taking minutes

  • Preparing for training meetings, which includes drafting agendas, gathering and printing all necessary

    documents, and organizing refreshments

  • Produce reports, presentations and briefs

  • Handling basic bookkeeping tasks

  • Organizing all company events, including fund-raisers, and staff appreciation functions

  • Arranging domestic and international flights, transportation, and accommodation arrangements

  • Act as the point of contact between the director and internal/external clients

  • Assist the director with all other assigned tasks


  • Excellent verbal and written communications skills

  • A proactive approach to problem-solving with strong decision-making skills

  • Must be able to meet deadlines in a fast-paced quickly changing environment.

  • Keen organizational and time management skills with an eye (and a love) for detail

  • Has a low tolerance for mistakes of any kind

  • Actively demonstrates a dedication to meeting the expectations and requirements of directors

  • Knowledge of office management systems and procedures

  • High proficiency in MS Office (Word, Excel, PowerPoint)

  • Up-to-date with the latest office gadgets and applications

  • Ability to multitask and prioritize daily workload

  • Discretion and confidentiality
