Job Title: General Secretary (Female)


Job Location: Accra, Greater Accra 


Job Description
  • Manage and Coordinates all calls, staff and clients data as well as media relations on behalf of the president
  • Maintain executive's agenda and assist in planning appointments, board meetings, conferences, minutes etc
  • Receive and screen phone calls and redirect them when appropriate 
  • Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Organize and attend meetings and ensure the Company President is well abreast with issues liaising with clients, suppliers and the interested public 
  • Screen phone calls, inquiries and requests before it gets to the President when appropriate
  • Perform management tasks, including running errands, arranging travel for the President including reserving conference grounds; security conscious routes, publicity and meals
  • Occasionally travelling with other managers on behalf of the President to supervise company activities



Qualification and Requirements
  • A Tertiary qualification in Secretariat, Accounting, marketing, HR or Public Relations


Skills
  • Excellent communication skills: written and inter-personal relations
  • Good Presentation and Negotiation skills
  • Knowledge in ICT including MS Office Suite, Web-based and social media 
  • Ability to coordinate large groups of people
  • Ability to work independently, under pressure and over time
  • Accounting background will be an advantage
