Job Title: Procurement Manager


Job Location: Tema, Greater Accra


Reporting To: Finance Manager


Reporting Relationships: 

  • The Procurement Manager reports to the Finance Manager. The position works with a high degree of autonomy and responsibility


Job Summary

  • The Procurement Manager will manage the company’s purchases for operations.The Procurement Manager will formulate and drive a consistent and efficient approach towards sourcing, tendering and purchasing activities within the business ultimately ensuring that value for money is maximized and cost savings are generated. The candidate will work closely with the Plant Manager and Stores Officer to forecast material needs and procure the right quantity and quality at advantageous terms
  • The key measurement of success will be the ability to demonstrate annual cost savings via commercial, negotiation and strategic initiatives


Job Description

  • Responsible for securing the best purchasing initiatives to provide the right quantity of materials that meet industry quality standards and maximises value for money and cost savings
  • Evaluate prospective suppliers and identify opportunities, synergies and efficiencies that will deliver procurement savings for the benefit of the business
  • Maintain accurate and up to date records of all purchases and suppliers and provide detailed analysis for monitoring and evaluation purposes
  • Coordinate all activities in relation to procurement to ensure scheduled delivery and the continuous flow of work


  • To negotiate contractual arrangements with suppliers to ensure that value for money and excellent quality levels are maintained and optimised across all categories of expenditure
  • To ensure contracts are completed for all relevant agreements
  • To ensure payment terms are managed and optimised in favour of the business resulting in improved cashflows
  • To lead supplier negotiations, recommend supplier selection and implement initiatives designed to encourage continual improvement
  • To work together with key management staff such as the Operations, Plant and Finance Managers to ensure that all costs are recorded in a timely and accurate manner

Procurement Policy and Training

  • To establish, harmonise and maintain appropriate formalised purchasing polices, compliance and procedures across the business
  • To undertake periodic reviews of the purchase ordering process and then implement continuous improvements where necessary to ensure cost are monitored, reviewed and controlled within budgetary constraints and in line with Finance procedures
  • Effectively engage managers and staff about the value of robust procurement
  • Ensure adequate internal training and processes are understood and best practices adhered to

Compliance, Monitoring and Reporting

  • To develop a suitable contract database and protocol for ongoing supplier management
  • To support the business in its endeavours to monitor suppliers’ performance in line with KPIs, contractual obligations and agreements
  • To provide active benchmarking data and analysis to ensure the company achieves continued value, flexibility, and sustainability across the entire supply chain
  • To design appropriate reporting and monitoring mechanisms that clearly highlight cost savings achieved and validate supplier performance and concerns


  • Assist Finance Manager and Operations Manager with the annual budget process ensuring accurate costs are scrutinised and budgeted accordingly
  • Provide accurate forecasting data highlighting key variance analysis between actual and budget spend
  • To proactively work with Finance Manager and Operations Manager to rapidly identify major procurement opportunities and deliver a series of quick wins that will enhance profitability


  • To be fully conversant with all products of the company in order to give potential and existing suppliers accurate information in a professional and timely manner
  • To actively monitor the external business environment and be fully aware changes in inflationary and purchasing environment
  • To work with other managers on specific initiatives as required
  • To undertake any other duties as requested by senior management team, in accordance with the scope and responsibilities of the role


Qualification and Requirements

  • A minimum of a University qualification in Business Administration, Purchasing and Supply Chain Management, Economics or a related field
  • Demonstrable experience in a medium to large business environment with 5 years’ experience in procurement and/or supply chain management
  • Experience in the development of supply chain management strategies and policies
  • Working knowledge of the CIPS Global Standard for Procurement and Supply will be an added advantage
  • Demonstrable experience leading improvement initiatives
  • Ability to administer and manage an effective and proactive purchasing and supply chain management system
  • Advanced Knowledge of ICT
  • Knowledge of Supply Chain Management software (Database management, Inventory management, Enterprise Resource Planning, and General Office Programs)
  • Demonstrable general management skills
