Job Summary

The facility manager is responsible for the following tasks;

  • Facility Management related to the GIZ-CCPS Building
  • Provide and facilitate all logistical support for the programs E4D and develoPPP.de
  • Procurement of all goods and services for the project

 

Job Description

Facility Management  (GIZ-CCPS BUILDING):

  • Carries out regular checks on all technical parts of the GIZ-CCPS Building and makes sure that everything is in order
  • Liaise with all service providers to maintain, clean and secure the CCPS building
  • Handles smaller repairs by her/himself and supervises other repairs on behalf of GIZ
  • Liaises with public service providers (Telephone and internet, power, water) in connection with the services to the offices and ensures timely payment of these utilities (electricity, water, etc.) by GIZ finance
  • Enforce the Key policy and filing handing-over protocols of keys
  • Liaise with service providers for IT and Telecommunication and IT company used by GIZ Verifies that jointly used ICT equipment’s (floor printer etc.) and office equipment’s are in working condition. To this end, the officer conducts regular checks on the equipment in joint use to identify working conditions
  • Keep record on IT related services
  • Report security related issues to management, secure that staff adheres to security rules
  • Reports damages and malfunctions in and at the Building premises to management on time
  • Checks and advises management on the adherence of regulations of the office building
  • Updates her/him on fire fighting and security precautions and advises members of the office Building accordingly

Procurement:

  • Procure items and services for all staff in CCPS according to GIZ procurement rules and regulations
  • Liaise with CO for procurement above the threshold
  • Maintain the inventory and draft inventory reports
  • Monitors and co-ordinates deliveries of items from suppliers, together with GIZ Country Office and / or IT services where meaningful
  • Ensures that various services, equipment, and office supplies are identified, procured and supplied, together with GIZ Country Office and / or IT services where meaningful
  • Processes complaints about goods procured, follow-up with supplier, demanding corrections, achieving satisfaction on the side of the colleague asking to order
  • Close cooperation with the colleagues which require the goods

Logistical Management:

  • Enforce GIZ vehicle policies (maintenance, drivers, and insurance) and filing of car handing-over documents
  • Confirms the proper handling and utilization of the vehicles assigned to the project by ensuring trips are registered by the drivers (monitors log books) and regular maintenance service is undertaken in collaboration with the individual Project
  • Maintain car files (in the car and in the office)
  • Follows-up vehicle accidents insurance claims
  • Initiates parking rules of the GIZ-CCPS Building and follows up on its implementation

Other Duties/Additional Tasks

  • Assists in and/or carries out other activities and tasks assigned by the supervisor

 

Qualification and Requirements

  • A minimum of a Degree in purchasing and supply or similar qualification 
  • At least 5 years working experience in the position or a similar position
  • Good working knowledge of modern telecommunication systems (telephone, fax, e-mail, scanner, internet and its software)
  • Working knowledge of Outlook, Word and Excel programs
  • Good language and communication skills
  • Excellent organising skills
  • Strong customer service orientation
