Job Title: Administrative Officer


Job Location: Accra, Greater Accra


Job Description

The Administrative Officer shall report to the Managing Director sand be responsible for:

  • Answering visitor inquiries about the company and its products or services, and sorting mails
  • Setting appointments, filing, records keeping, keyboarding/data entry, typing and performing a variety of other office tasks, such as emailing 
  • Scheduling/assigning field staff to pending works or services
  • Custodian of petty cash
  • Management of client database
  • Follow up on proposals sent, outstanding payments to clients, sub-contractors and from clients
  • Major contracts documentations
  • Compilation of staff daily, weekly and monthly reports
  • Ensure that all policies, appointments, terminations and revisions of salary are in accordance with the Ghana labour laws
  • Ensure that the company has the necessary human resources at all times
  • Monitor staffing and recruitment at all levels in order to promote a responsible balance in the company
  • Continuously develop and revise personnel, and human resource development policies; and ensure that every staff has access to and well versed in such policies
  • Ensure that the company has appropriate admin and finance officers, follow-up their performance and give the necessary technical support
  • Supervise staff and review performance though the use of regular staff appraisal format
  • Provide staff with relevant opportunities for personal development that are in line with the functions of their jobs
  • Be responsible for the maintenance of meticulous and up-to-date personnel records of individual staff including leaves, assessments, salaries, contracts, personnel files as well as confidential records
  • Ensure that all new staff are adequately inducted and oriented about RIGWEALTH personnel policies and procedures, emphasizing on their rights and responsibilities
  • Ensure that a good stock of logistics and equipment are maintained for the smooth running of operations
  • Maintain MD’s Diaries (schedule the meetings and engagements of the MD with clients)
  • Arrange appointments
  • Manage client and suppliers databases
  • Implement and maintain procedures/administrative systems
  • Coordinate office activities by liaising with staff, suppliers and clients for price lists
  • Creation of standard document templates
  • Creating, editing and re-organization of proposal forms and documentations
  • Business Plan formulation & review
  • Service Level Agreements (SLA)
  • Investor portfolio management

The following with the company’s contracted Accountant:

  • Financial Data Management
  • Analysis and Advice
  • Financial Report Preparation
  • Financial Compliances
  • Prepare profit and loss statements on behalf of the company
  • Analyze budgets and other financial information and advice where savings could be made
  • Help to produce budgets for the company and implement strategies for cost savings
  • Ensure the company accounts and tax returns are prepared and filed correctly and on time
  • Prepares asset, liability, and capital account entries by compiling and analyzing account information
  • Payroll
  • Registrar general returns
  • Bank reconciliation
  • Inspection of Payment Vouchers / Slips 
  • Others (Accra Metropolitan Assembly; Fire Service; etc.…)


Qualification and Requirements 

  • A minimum of an HND / Degree in related field
  • At least 1-3 years work experience
